Role
We're looking for a highly organized, proactive, and adaptable Executive Assistant to support our CEO while helping manage our Mountain View office operations. This role is ideal for someone who thrives in fast-paced startup environments, enjoys creating structure out of ambiguity, and takes pride in enabling others to do their best work.
You'll operate as a operational partner to the CEO and broader executive team while also serving as a key driver of office management and executive coordination across the company. This is a hands-on role that requires exceptional judgment, communication skills, attention to detail, and the ability to balance multiple priorities simultaneously.
Responsibilities
Executive Support
  • Provide comprehensive support to the CEO, as well as some support to executive team as required, including: managing complex calendars, scheduling meetings, and coordinating priorities across internal and external stakeholders
  • Own and manage the CEO's calendar and travel plans with strong prioritization and time management
  • Prepare meeting agendas, and track action items, deadlines, commitments to ensure timely execution
  • Coordinate domestic and international travel arrangements, including itineraries, accommodations, and logistics
  • Assist with internal and external communications on behalf of the CEO when appropriate
  • Help the CEO stay focused on key priorities by proactively identifying opportunities to improve efficiency and organization
  • Assist with planning and execution of operational and administrative projects across the company

Office Management
  • Oversee day-to-day operations of the Mountain View office to ensure a welcoming, productive, and efficient environment that reflects company culture and values
  • Manage relationships with vendors, building management, and service providers
  • Coordinate office supplies, equipment, snacks, SWAG, and facilities maintenance
  • Organize office events, team lunches, celebrations, and onsite activities
  • Support workspace planning and office growth initiatives
Experience
Required
  • 4-6 years of experience as an Executive Assistant supporting senior executives or founders
  • Experience working in a fast-paced startup or high-growth environment
  • Exceptional organizational, written and verbal communication skills with strong attention to detail
  • Strong AI literacy and comfortable using AI in day-to-day workflows
  • Great judgment and ability to handle sensitive and confidential information with discretion
  • Proven ability to manage multiple priorities, remain curious and resourceful, and adapt quickly in dynamic environments
  • Strong proficiency with Google Workspace, Slack, Notion, and other productivity tools

Preferred
  • Direct support of a CEO or founder
  • Background managing office operations or workplace coordination
  • Track record coordinating travel and complex scheduling across time zones
  • Strong project coordination or operational support background

Compensation
The cash compensation range for this role is $120,000 - $160,000.
Final offer amounts are determined by multiple factors, including experience and expertise, and may vary from the amounts listed above.
