FLSA Classification: Exempt

Job Type: Full-Time, On-Site


Schedule: Monday-Friday; flexibility required based on the CEO's schedule and business needs. Additional Saturday work may be necessary during busy seasons.

Position Summary

The Executive Assistant to the CEO provides high-level, confidential support across the CEO's business, investments, professional, and personal priorities. This highly visible role requires exceptional judgment, organization, discretion, and follow-through. The successful candidate will anticipate needs, manage competing priorities, communicate professionally with internal and external stakeholders, and serve as a dependable problem-solver in a fast-paced executive environment.


Key Responsibilities

  • Manage the CEO's complex calendar, appointments, meetings, and email communications; proactively identify conflicts and changing priorities.
  • Coordinate domestic and international travel, including detailed itineraries, transportation, accommodations, and related logistics.
  • Prepare, edit, and organize correspondence, presentations, reports, meeting materials, and other executive documents.
  • Maintain business, investment, and personal task lists; monitor deadlines, track action items, and ensure timely follow-through.
  • Conduct research, compile data, and prepare concise briefs to support business, investment, travel, and other executive decisions.
  • Collect, track, and organize confidential investment and financial documentation, including K-1s and related records.
  • Assist with drafting and synthesizing investor updates, communications, and supporting materials.
  • Serve as a trusted liaison between the CEO and leadership teams, employees, investors, business partners, and other stakeholders.
  • Coordinate with leadership teams to maintain alignment, advance priorities, and support completion of key projects and initiatives.
  • Plan and coordinate logistics for professional, personal, and family meetings, events, and special projects.
  • Provide local, in-person personal support and errands as needed while exercising sound judgment and strict confidentiality.
  • Handle sensitive information with the highest level of discretion, professionalism, and integrity.


Requirements

 Required Qualifications  

  • Seven or more years of progressive administrative experience, including direct support to a CEO or other C-suite executive. A minimum 7 -15 years' experience preferred.
  • Exceptional organizational, time-management, prioritization, and multitasking skills.
  • Excellent written and verbal communication skills with professional telephone and email etiquette.
  • Advanced proficiency in Google Workspace, Microsoft Suite, and capable of learning and using modern productivity and collaboration tools preferred.
  • Intermediate - Advanced level of experience with Chat GPT & Claude preferred.
  • Must be comfortable using AI as a thought partner to learn and assist with CEO projects. 
  • Preferred experience on Agentic Work Flows. 
  • Demonstrated resourcefulness, accuracy, sound judgment, and ability to solve problems independently.
  • Ability to remain composed, responsive, and highly dependable in a fast-paced, high-pressure environment.
  • Strong interpersonal awareness, empathy, and ability to respond appropriately to people and situations.
  • Bachelor's degree preferred; equivalent executive-support experience will be considered.
  • Must be based in the Houston area and able to work on-site at 3701 Holmes Road, Houston, TX 77051.
  • Must have reliable transportation to handle CEO's personal needs.
  • Must be willing to answer work phone after hours and on weekends if necessary.
