A dynamic and fast-paced organization is seeking an experienced Executive Assistant to the Co-CEO to serve as a trusted strategic partner and force multiplier for executive leadership. This is a high-impact role that extends far beyond traditional administrative support, requiring a highly organized, proactive, and adaptable professional who can seamlessly manage competing priorities while driving operational excellence.
You will act as an extension of the Co-CEO, ensuring optimal time management, streamlined operations, and effective communication across the organization. This role is ideal for a resourceful and solutions-oriented Executive Assistant who thrives in complex environments, exercises sound judgment, and enjoys building strong relationships while improving processes and systems.
The Job
This role sits at the center of executive operations, partnering closely with the Co-CEO to manage critical priorities, coordinate cross-functional initiatives, and create the structure needed for maximum effectiveness. You will balance strategic thinking with hands-on execution, helping drive efficiency, alignment, and accountability across teams.
Key Responsibilities
  • Manage complex and highly confidential calendars, coordinating with executives, investors, customers, partners, and Executive Assistants both domestically and internationally
  • Continuously adapt to changing business priorities to maximize the Co-CEO's effectiveness and productivity
  • Serve as an extension of the Co-CEO by attending meetings, capturing key action items, preparing materials, and ensuring follow-through
  • Develop and improve processes, reporting mechanisms, goal-tracking systems, and team operating rhythms
  • Manage competing priorities and projects while driving execution and accountability
  • Create and maintain Standard Operating Procedures (SOPs) and identify opportunities for operational improvements
  • Build strong relationships across the organization and collaborate closely with Executive Assistants and cross-functional stakeholders
  • Support special projects and strategic initiatives while exercising sound judgment on resource allocation and stakeholder involvement
  • Integrate and manage both professional and personal scheduling needs with discretion and efficiency
  • Partner with a collaborative EA/PA team on team programs, best practices, and cross-functional initiatives
About You
  • 10+ years of experience supporting senior executives at the Director, VP, President, Founder, or C-Suite level
  • Proven ability to manage highly confidential and sensitive information with discretion and professionalism
  • Exceptional calendar, inbox, and travel management experience, including complex domestic and international travel arrangements
  • Strong organizational skills with meticulous attention to detail
  • Demonstrated ability to prioritize effectively and make thoughtful trade-offs in a fast-changing environment
  • Track record of maintaining executive inbox organization and driving toward inbox-zero efficiency
  • Comfortable navigating ambiguity and making sound decisions with limited information
  • Self-starter with a strong ownership mentality and the ability to proactively identify and solve problems
  • Experience building efficient systems, improving workflows, and driving process enhancements
  • Excellent communication skills with strong executive presence and professional polish
