Description
The Executive Assistant provides high-level administrative support to C-Suite executives within a substance abuse and behavioral health organization. Based at the corporate office, this role is responsible for managing complex calendars, coordinating meetings and travel, preparing reports and presentations, handling confidential information, and serving as a key liaison between executives and internal/external stakeholders. The ideal candidate is detail-oriented, professional, and experienced in supporting senior leadership within a fast-paced, mission-driven healthcare or behavioral health environment. Strong organizational skills, discretion, and the ability to manage competing priorities are essential.
Essential Duties and Responsibilities: ( The following list outlines key responsibilities and is not exhaustive)
  • Supports owners with day-to-day administrative tasks and special projects.
  • Manages executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prepares agendas, organizes logistics, and records minutes for internal and external meetings.
  • Conducts basic research as needed for reports, presentations, and initiatives.
  • Handles incoming calls; screens and routes as appropriate.
  • Responds to inquiries and ensures prompt resolution or appropriate escalation.
  • Coordinates correspondence, document handling, and package delivery.
  • Maintains confidential files, records, and executive-level documentation.
  • Anticipates the needs of executives by proactively preparing relevant materials.
  • Performs general clerical support and other duties as assigned.

Requirements
Requirements and Abilities:
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and timekeeping software
  • Excellent organizational and time-management skills
  • Ability to manage multiple tasks with accuracy and efficiency
  • Strong interpersonal and communication skills, both verbal and written
  • Ability to handle sensitive and confidential information with discretion

Education and Experience:
  • High school diploma or equivalent required
  • Associate's degree or administrative certification preferred
  • Minimum of 3-5 years of experience supporting senior or executive-level staff, preferably in healthcare, behavioral health, or nonprofit sectors
