Position Summary:

We are seeking a highly organized, proactive, and discreet Personal Assistant / Executive Assistant to support a busy executive with both professional and personal responsibilities. The ideal candidate is detail-oriented, trustworthy, adaptable, and able to manage multiple priorities in a fast-paced environment while maintaining confidentiality and professionalism.


Key Responsibilities


Executive Support:

  • Manage calendars, appointments, and meetings including setup onsite
  • Coordinate schedules and prioritize time-sensitive matters
  • Prepare meeting agendas, presentations, reports, and correspondence
  • Make phone calls, send emails and general research and follow up inquiries
  • Track deadlines, follow-ups, and ongoing projects
  • Assist with event planning and meeting coordination
  • Handle expense reports, invoices, and basic administrative tasks

Personal Assistance:

  • Coordinate personal appointments, household scheduling, purchasing gifts
  • Assist with errands, reservations, and vehicle services
  • Manage deliveries, shipping and mail
  • Help organize family or household-related tasks as needed
  • Maintain confidential personal and business information

Office & Operations Support:

  • Organize files, records, and digital documents
  • Liaise with vendors, clients, and service providers
  • Assist with coordination of contractors and staff
  • Monitor supplies and office organization
  • Support special projects and business initiatives

Qualifications:

  • Proven experience as an Executive Assistant, Personal Assistant, Administrative Assistant, or similar role
  • Excellent organizational and time-management skills
  • Strong written and verbal communication abilities
  • High level of discretion and confidentiality
