What are the key skills and qualifications needed to thrive as an executive assistant office manager, and why are they important?

To thrive as an Executive Assistant Office Manager, you need strong organizational skills, attention to detail, and proficiency in business administration, often backed by relevant experience or an associate's or bachelor's degree. Mastery of office software (such as Microsoft Office Suite), calendar management systems, and sometimes familiarity with project management tools or certifications like CAP (Certified Administrative Professional) is highly valued. Exceptional communication, discretion, and multitasking abilities help you manage executive needs and office operations seamlessly. These skills and qualities are crucial for ensuring efficient workflow, supporting executive productivity, and maintaining a well-coordinated workplace.

Who gets paid more, an executive assistant office manager or an executive assistant?

An executive assistant office manager typically earns a higher salary than an executive assistant because the office manager role involves broader responsibilities, including supervising staff, managing office operations, and handling administrative tasks. Salaries can vary based on experience, industry, and location, but office managers generally have higher compensation due to their additional managerial duties.

What is an executive assistant office manager?

Executive Assistant Office Managers are professionals who provide high-level administrative support to executives while also overseeing the daily operations of an office. Their responsibilities often include managing schedules, organizing meetings, handling correspondence, supervising administrative staff, and ensuring the smooth functioning of office procedures. They serve as a vital link between upper management and other employees, helping to coordinate activities and improve office efficiency. This dual role requires strong organizational, communication, and multitasking skills. Executive Assistant Office Managers often work in fast-paced environments and need to handle sensitive information with discretion.

How does an executive assistant office manager balance supporting executive leadership with managing office operations?

An Executive Assistant Office Manager often juggles dual responsibilities by strategically prioritizing tasks and maintaining clear communication. Supporting executive leadership may involve managing calendars, preparing reports, and handling confidential correspondence, while office management includes overseeing administrative staff, supplies, and facility needs. Success in this role hinges on adaptability, strong organizational skills, and the ability to delegate when possible. Collaboration with other departments and proactive problem-solving are also key to ensuring both executive and office needs are met efficiently.

Executive Assistant & Office Manager

Alliance

New York, NY โ€ข On-site

Full-time

Re-posted 3 days ago

Job description

Location: NYC (onsite only - not remote)

Alliance is the leading accelerator for crypto founders. Since 2020 we've backed 300+ startups (Rain, Synthetix, Pendle, and many more), now collectively valued at $15B+.

We're hiring an Executive Assistant & Office Manager to support both the day-to-day operations of our NYC office and provide direct support to leadership.

What you'll do

Office Operations

  • Maintain a clean, organized, and welcoming office environment throughout the day
  • Stock and organize office supplies, snacks, beverages, and kitchen inventory
  • Ensure meeting rooms and common spaces are guest-ready at all times
  • Manage incoming mail, deliveries, and package organization
  • Coordinate with vendors, building management, cleaners, and service providers
  • Help maintain calendars for shared office resources and meeting spaces
  • Provide support to leadership and team members on day-to-day coordination tasks

Executive Assistant Support

  • Manage calendars, scheduling, and meeting coordination for leadership
  • Coordinate travel arrangements, reservations, and itineraries
  • Handle personal errands, appointments, and administrative tasks as needed
  • Track action items, deadlines, and follow-ups across workstreams
  • Assist with inbox management, document preparation, and light research
  • Coordinate logistics for meetings, guests, and external engagements
What we're looking for
  • Strong organizational skills and attention to detail
  • Comfortable managing multiple priorities simultaneously
  • Strong communication and interpersonal skills
  • Ability to work independently and proactively identify needs
  • High emotional intelligence and discretion.
Strong qualifications (nice to have)
  • Startup, coworking, hospitality, or events experience
  • Experience working in fast-paced or highly collaborative environments
  • Interest in startups, founders, or entrepreneurship
Why NOT join us
  • Not willing to get hands dirty: doesn't matter how important you were in past organizations; at Alliance we're all builders, not managers (even though many of us were managers in past lives).
  • Prioritizing work/life balance: this role demands focus, hunger, and a career-defining level of commitment. You must be locked in.
  • Low agency: if you need someone else to set your priorities or keep you on track, you will fail.
  • You can't relocate to NYC. This is non-negotiable: our founders are here, and so are we.
Why join us
  • Work with the most ambitious founders in crypto and AI. Learn firsthand from hundreds of startups succeeding - or failing.
  • Join a small, high-trust, high-performance team with outsized impact. We're ex-Meta, WhatsApp, Coinbase, YC, and have collectively founded multiple venture-backed startups.
  • We're backed by S-tier investors including Initialized Capital, Founders Fund, Multicoin, and Dragonfly, along with angels such as Balaji Srinivasan (ex-Coinbase CTO), Kevin Weil (CPO at OpenAI), Kevin Lin (Twitch co-founder), and Jeremy Allaire (Circle CEO), among many others.
  • Direct ownership and visibility: your work shapes how the next generation of founders discovers Alliance.
  • Career accelerator: this role sets you up, experience- and network-wise, for any high-impact path in crypto/AI - at startups, venture firms, or your own company.
  • Alliance startups are reinventing industries - from media to payments - and improving the lives of everyday people. You'll have a front-row seat as they change the world.
    Employment Type: FULL_TIME
