Purpose

To support project management and operations for the College of Natural Sciences events team.

Responsibilities

  • Project Management & Inventory Coordination: maintaining project timelines in Smartsheet, coordinating inventory and supplies, supporting the Event Loaner Program, and assisting with operational workflows.

  • Creative & Administrative Support: create event collateral in Canva, maintain digital records and databases, and support office communications.

  • Event Operations & Execution: assist with event logistics, preparation, setup, and teardown, and provide on-site support for the event coordinator and team.

Required Qualifications
  • Must be currently enrolled as a student at the University with 12 hours of coursework and in good academic standing.

  • Must be based in Austin, TX, and able to work in person on campus.

  • Demonstrated strong communication and interpersonal skills

  • Self-motivated with the ability to follow detailed instructions, manage multiple competing tasks, and work independently on strict deadlines

  • Working knowledge of Excel, Outlook, and Canva

  • Strong organizational skills with attention to detail

  • Ability to take initiative, communicate progress, and seek guidance when needed.

  • Ability to lift and transport event materials (>10lbs) and provide on-site event support.

  • Ability to work early mornings, late evenings, and weekends as required by event schedules

Preferred Qualifications
  • Interest in project management, event operations, marketing, or communications.

  • Experience managing multiple projects or balancing competing priorities

  • Experience with project management software (Asana, Trello, Smartsheet, ect.)

  • Experience planning events, leading student organizations, or coordinating outreach efforts.

  • Demonstrates ability to identify problems, propose solutions, and work proactively with minimal supervision.

  • Thrives in a fast-paced environment and contributes positively to a collaborative team.

Salary Range

$11.00 per hour

Working Conditions
  • Work environment- standard office setting with occasional work at indoor and outdoor event sites across campus.

  • Schedule Flexibility- available for occasional early mornings, late evenings, or weekend hours during event weeks

  • Physical tasks- includes lifting and transporting event materials (up to 50 lbs), setting up tables or displays, and standing for extended periods during events

  • Technology use- frequent computer work, including data entry, graphic design, and communication tasks with tools like Excel, Canva, and Outlook
