POSITION SUMMARY & RESPONSIBILTIES:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our CEO. The ideal candidate will be resourceful, efficient, and capable of managing multiple tasks with precision and confidentiality. This role requires excellent communication skills, impeccable attention to detail, and the ability to anticipate the needs of executives in a fast-paced environment.
Special focus to be placed on:
  • Coordinate and manage complex schedules, including arranging meetings, appointments, and travel arrangements for executives. Prioritize conflicting demands and ensure efficient use of executive's time.
  • Manage email correspondence and respond on behalf of executives when necessary.
  • Prepare and edit reports, presentations, and other documents for internal and external distribution. Maintain accurate records and files, ensuring confidentiality and compliance with company policies.
  • Assist in the planning, coordination, and execution of special projects and initiatives as directed by executives. Track project deadlines, milestones, and deliverables to ensure timely completion.
  • Provide general administrative assistance, including drafting correspondence, managing expenses, processing invoices, and maintaining office supplies and equipment.
  • Organize and facilitate meetings, including scheduling, preparing agendas, recording minutes, and following up on action items. Preparing the boardrooms for meetings, events, etc.
  • Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, and visas, ensuring a seamless travel experience for executives.
  • Maintain confidential information with utmost discretion and professionalism. Organize and prioritize incoming requests and tasks, ensuring timely responses and resolution.
  • Build and maintain positive relationships with internal teams, external partners, clients, and vendors.
  • Serve as a liaison between executives and various stakeholders, fostering open communication and collaboration.
POSITION REQUIREMENTS:
  • Bachelor's degree in Business Administration, Management, or related field preferred.
  • Proven experience as an executive assistant or similar role, preferably supporting C-suite executives.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Alabama Notary preferred or willing to obtain notary license within 3 months.
  • Strong communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Discretion and confidentiality in handling sensitive information and communications.
  • Detail-oriented with a high degree of accuracy in work output.
  • Flexibility and adaptability to changing priorities and requirements.
  • Ability to work independently with minimal supervision.
  • Professional demeanor and positive attitude, with a proactive approach to problem-solving.
