Job Purpose:

Serves as the primary front-line customer service representative for the Office of Transfer Relations while providing cross-functional operational support for Transfer Relations, Admissions, and the Office of the Registrar. Coordinates front desk operations, communications, and administrative workflows to ensure students, families, faculty, staff, and external partners receive timely, accurate, and professional assistance while supporting efficient Enrollment Management operations.

Essential Duties and Responsibilities:

  • Serves as the primary point of contact for the Office of Transfer Relations by answering phones, responding to shared email accounts, greeting walk-in visitors, assessing customer needs, and directing students and stakeholders to the appropriate office, service, or resource. Ensures timely, professional, and consistent customer service.
  • Provides front desk coverage and operational support for Transfer Relations, Admissions, and the Office of the Registrar as needed. Develops and maintains working knowledge of Enrollment Management services to accurately triage inquiries and ensure continuity of customer service during peak periods, staff absences, and special events.
  • Provides administrative and workflow support for Transfer Relations by coordinating departmental communications, routing documents, maintaining records, monitoring shared workflows, and preparing transfer products for publication. Assists with data entry and population of transfer-related systems, publications, and guides following established procedures.
  • Provides operational support for Transfer Relations processes, including Pre-Transfer Credit Evaluations (PreTCEs), Express Transfer Agreements (ETAs), shared inbox management, Transfer Petitions, Reverse Transfer, Transfer Check, and other established departmental workflows. Ensures assigned processes are completed accurately and in a timely manner.
  • Provides operational support for recruitment activities, transfer events, orientation programs, and departmental initiatives by preparing materials, coordinating logistics, maintaining office resources, and assisting with routine administrative functions to ensure efficient office operations.
  • Maintains departmental records and performs data entry in support of transfer-related processes. Assists with preparing reports, organizing documentation, and validating information to support accurate and consistent office operations.
  • Perform special projects, as directed.
  • May guide or supervise other office staff as required.

Supplemental Functions:

  • Assists with special projects and short-term departmental initiatives as assigned.
  • Prepares meeting materials, correspondence, mailings, and other administrative documents.
  • Coordinates routine logistics for meetings, trainings, recruitment events, and office activities.
  • Maintains office supplies, shared workspaces, and routine administrative resources.
  • Provides backup support for departmental functions during peak periods, staff absences, or operational needs.
  • Performs other related duties as assigned in support of the Office of Transfer Relations and Enrollment Management.
  • Assist with revision of forms and office procedures.

Minimum Qualifications:

Education: High School Diploma or GED

Experience: 2 years progressively responsible work-related experience

Experience Evaluation

Minimum experience requirements are evaluated on a full-time equivalent (FTE) basis. Relevant part-time experience will be prorated based on hours worked. For example, two years working an average of 20 hours per week is equivalent to approximately one year of full-time experience.

Applicants must include the average hours worked per week for all current and previous positions. Failure to provide this information may affect the evaluation of qualifications.

Work Location:

On-Campus: This position provides vital support to campus customers, and the successful candidate must be available to work and perform essential job functions on campus, understanding our location is at 7,220 feet above sea level.
