About the Role

PrePass is seeking a highly organized, proactive, and detail-oriented Marketing Coordinator - Events to join our Marketing team. Reporting to the Marketing Events Manager, this role plays a central role in planning, coordinating, and executing trade shows, conferences, sponsorships, customer events, and internal company events that strengthen the PrePass brand and customer experience.

The Marketing Coordinator - Events will own many of the day-to-day logistics that keep our events running smoothly, including event planning support, sponsorship deliverables, inventory management, shipping, attendee registrations, and on-site event coordination. In addition to event responsibilities, this role will support marketing initiatives through content coordination, branded materials, and internal communications.

This position is ideal for someone who enjoys organizing projects, solving logistical challenges, and working collaboratively to deliver exceptional experiences. Success in this role requires strong organizational skills, attention to detail, excellent communication, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Event Planning & Coordination

  • Support the planning, coordination, and execution of trade shows, conferences, sponsorships, customer events, and internal company events.
  • Partner with the Marketing Events Manager to execute successful events from planning through post-event wrap-up.
  • Coordinate event logistics, timelines, registrations, shipping schedules, and vendor communications.
  • Manage sponsorship deliverables, including gathering required information, coordinating internal approvals, and ensuring deadlines are met.
  • Coordinate attendee registrations and internal logistics for employees attending conferences and events.
  • Assist with on-site event setup, execution, and teardown as needed.
  • Track event timelines, checklists, and deliverables to ensure projects remain on schedule.
  • Coordinate with internal teams, vendors, venues, and external partners to support successful event execution.

Event Logistics & Inventory

  • Own the organization, maintenance, and inventory of the event storage room.
  • Prepare, pack, ship, receive, unpack, and organize trade show displays, promotional items, marketing collateral, and event materials.
  • Maintain inventory of branded merchandise, event supplies, booth assets, and marketing materials.
  • Monitor inventory levels and coordinate reorders as needed.
  • Ensure all event materials remain organized, maintained, and event-ready.

Marketing Support

  • Assist with event promotions, social media content, and digital marketing initiatives.
  • Support the execution of marketing campaigns and internal communications.
  • Ensure brand consistency across all marketing materials, presentations, signage, and event collateral.
  • Write, review, and edit marketing, proposal, and event-related content for clarity and consistency.
  • Maintain marketing collateral, presentations, photography, and other creative assets.
  • Support internal initiatives that promote employee engagement and company culture.
  • Recommend improvements to marketing and event workflows to increase efficiency.
  • Assist with special projects and other marketing initiatives as assigned.

Requirements

Qualifications

Required

  • Bachelor's degree in Marketing, Communications, Event Management, Business, or a related field, or equivalent experience.
  • 1-3 years of experience in marketing, event coordination, communications, or a related field.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities while maintaining attention to detail.
  • Ability to work independently and collaboratively in a team environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint).

Preferred

  • Experience coordinating trade shows, conferences, corporate events, or sponsorships.
  • Experience in B2B marketing or event coordination.
  • Experience with Asana or other project management software.
  • Experience with Content Management Systems.
  • Familiarity with social media and digital marketing platforms.

Physical Requirements
  • Ability to frequently lift, carry, push, and move event materials and equipment weighing up to 50 pounds.
  • Ability to pack, unpack, load, and organize event materials, displays, and promotional items.
  • Ability to stand, walk, bend, and perform event setup and teardown activities for extended periods.
  • Ability to travel and occasionally work evenings or weekends based on event schedules.
