About the Role


We are seeking a highly organized and service-driven Event Coordinator to join our team in Aspen, Colorado. This role supports the planning and execution of events across The Aspen Art Museum, offsite catering, and occasional restaurant buyouts.


The Event Coordinator plays a key role in ensuring seamless event execution, supporting client communications, logistics, and on-site operations while delivering exceptional guest experiences.

What You'll Do

  • Support the Events team in coordinating weddings, corporate events, private parties, and fundraisers
  • Manage and respond to inbound inquiries via email, TripleSeat, phone, and in-person communication within 48 business hours
  • Assist in preparing catering proposals, contracts, and Banquet Event Orders (BEOs)
  • Coordinate event logistics, timelines, and vendor details to ensure smooth execution
  • Support venue site tours and assist with sales efforts
  • Collaborate with Culinary and Beverage teams on menu planning and event details
  • Coordinate with external vendors and assist with order placement, confirmations, and on-site execution
  • Ensure all required permits, insurance certificates, and compliance documents are collected and organized
  • Support adherence to Aspen Art Museum policies and event guidelines
  • Assist with inventory management of OS&E and event-related materials, including uniforms
  • Provide on-site event support, including setup, execution, and breakdown
  • Maintain accurate records in TripleSeat and other systems
  • Assist with event reconciliation in Toast
  • Participate in team meetings and cross-departmental initiatives


Qualifications

  • 1-3 years of experience in events, hospitality, catering, or a related field
  • Strong organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Ability to manage multiple tasks in a fast-paced environment
  • Customer service-focused with a positive, team-oriented attitude
  • Proficiency in Microsoft Office and Google Workspace (TripleSeat experience preferred)
  • Flexibility to work nights, weekends, and holidays
  • Ability to travel locally as needed
