Common Search & ComparisonYesYes

Event Staffing involves providing personnel for various events, focusing on customer service and support roles. Event Promoters are responsible for marketing and attracting attendees to events. While both roles are involved in events, staffing focuses on execution, whereas promotion emphasizes attracting audiences.

What are some common challenges faced by event staffing professionals, and how can they be managed effectively?

Event staffing professionals often encounter challenges such as last-minute schedule changes, managing large crowds, and handling unexpected issues during events. Flexibility and strong communication skills are essential for adapting to dynamic environments and ensuring seamless coordination with team members and supervisors. Building good working relationships with colleagues and being proactive in addressing potential issues can help minimize disruptions and contribute to successful event execution.

What is event staffing?

Event staffing refers to the process of hiring and managing temporary workers to fulfill various roles at events, such as conferences, concerts, weddings, festivals, or corporate gatherings. These staff members may include ushers, registration clerks, security personnel, wait staff, brand ambassadors, or technical support. The goal of event staffing is to ensure that the event runs smoothly by providing professional and reliable personnel tailored to the specific needs of the occasion.

What are the key skills and qualifications needed to thrive as an Event Staffing professional, and why are they important?

To thrive as an Event Staffing professional, you need strong organizational skills, attention to detail, and the ability to follow instructions, often supported by prior customer service or hospitality experience. Familiarity with event management software, scheduling tools, and basic point-of-sale systems is valuable. Exceptional communication, teamwork, and adaptability are crucial soft skills for engaging with guests and handling unexpected situations. These skills and qualities ensure smooth event operations, positive guest experiences, and efficient coordination among staff.

Job description

Description & Requirements

Event Staffing Specialist - Remote

The Event Recruiting Specialist is the person who finds, vets, and books the talent that makes our promise real: clients never have to worry about bad staff. This is a recruiting and project role, not a people management role. You own the talent on your assigned projects end to end. You source gig talent across markets, run fast interviews on camera, make the booking call, and manage each project through to a clean finish.

It moves fast. In a single week you may be staffing very different roles (brand ambassadors, promotional models, labor support, and more) for very different brands, in multiple cities at once. Brand Besties runs dozens of projects a month, so this role rewards someone who thrives on variety, switches context easily, and gets people booked quickly without ever dropping quality.

Best-in-Class Benefits and Culture

Our client values employees' time and effort. Their competitive compensation of $61,000-$75,000 annually, depending on experience, and an extensive benefits package reflects their commitment to employee success. Benefits include:

  • Comprehensive health coverage: Medical, dental, and vision insurance
  • Financial security: Life and disability insurance
  • Flexible financial options: Health savings and flexible spending accounts
  • Well-being and work-life balance: Remote work

Our client is committed to fostering a collaborative, growth-oriented environment where employees are encouraged to contribute to processes, decisions, and culture.

Qualifications:

  • 2 to 3 years of hands on recruiting, staffing, and interviewing experience; this is not an entry level role
  • Experience in events, experiential, or field marketing staffing strongly preferred, with a real understanding that this work runs on nights and weekends, not a 9 to 5
  • Comfortable and confident on camera; this is a face to face company, and on camera interviewing and team time happen daily
  • Strong written and verbal communication, with the responsiveness and follow through the role demands, including staying on top of email
  • Highly organized and detail oriented, able to switch context across many projects, brands, and markets without dropping balls
  • Self motivated and high agency, able to work independently and manage your own time once trust is established
  • Comfortable using social media, which is part of how we reach and recruit talent
  • Working knowledge of U.S. geography and markets, or the drive to learn it quickly
  • Reliable computer and webcam, and a quiet space to interview
  • Comfortable with tools such as popbookings, Monday.com, Google Workspace, and HubSpot, or able to ramp quickly
  • Available to attend roughly four local or regional events per year; no required travel

What You'll Do

Talent Recruiting & Interviewing

  • Source and recruit gig talent across markets using job boards, social media, and our client's talent channels
  • Run interviews on camera, often many in a single day, assessing reliability, professionalism, communication, and presentation
  • Make confident booking decisions quickly, frequently based on a short interview window
  • Match each person to the right role and activation type based on project fit
  • Build and maintain a strong, ready bench of vetted talent in key markets

Project Management & Field Delivery

  • Own assigned projects end to end and manage each through every stage in Monday.com
  • Book and confirm talent through our app and issue clear gig descriptions and field details
  • Prepare talent for success and manage live staffing through the event, including coverage, backups, and real time problem solving
  • Provide check ins during events, including some nights and weekends, since that is when many client events happen
  • Juggle many projects, brands, and markets at once, prioritizing well under deadline pressure

Talent Rate & Budget

  • Book talent within approved project rates and budgets
  • Flag and escalate rate or budget needs rather than absorbing them quietly
  • Partner with Account Management to resolve staffing constraints while protecting delivery quality

Communication & Team

  • Communicate promptly and clearly across email, WhatsApp, and team channels; responsiveness is non negotiable in this role
  • Show up on camera for team huddles and co working, and bring energy that helps teammates win
  • Operate with transparency and ownership: surface problems early and own the fix
  • Attend roughly one local or regional event per quarter to stay connected to the field

Continuous Quality

  • Capture field performance and feedback to strengthen the bench and future bookings
  • Apply learnings to keep raising the quality bar for clients

Ready to build exceptional teams and bring unforgettable brand experiences to life? Apply today to make a direct impact in a fast-growing, dynamic environment.

We anticipate that the application window will close in 30 days.

They do not discriminate based on race, color, religion, marital status, age, national origin, ancestry, disability, medical condition, pregnancy, genetic information, gender, sexual orientation, gender identity or expression, veteran status, or any other status protected by law.
