Hazen and Sawyer are seeking a Marketing & Events Coordinator in one of the following offices: Los Angeles, CA, Irvine, CA, and Denver, CO (Lakewood or Greenwood Village)

The Marketing & Events Coordinator primarily supports client-facing events in the West, Northwest, and Intermountain regions, while also providing support for events across the firm as needed. This role is responsible for planning and executing high-quality corporate events that strengthen client relationships, enhance Hazen’s brand presence, and support business development initiatives.

Our ideal candidate will be detail-oriented, energetic self-starter, who enjoys working in fast-paced, deadline-driven environment. They will be proactive and comfortable managing multiple events simultaneously and possess outstanding organization, time management and communication skills. The key to this challenging and incredibly rewarding industry is creating memorable experiences - and have fun while doing it. This position work schedule is hybrid.

Event Planning & Execution

  • Plan and execute client receptions, meetings, dinners, and corporate events ranging from 10 to 900+ attendees.
  • Coordinate venues, catering, audiovisual services, décor, signage, and promotional materials.
  • Travel to select large-scale events to provide on-site coordination and ensure seamless execution.

  • Develop and manage event budgets in coordination with the Senior Marketing & Events Coordinator and event hosts.

  • Reconcile invoices and complete post-event budget reporting, ensuring accurate cost tracking and documentation.

Event Communications & Invitations

  • Collaborate with graphic designers to create and distribute event invitations.
  • Manage RSVP tracking and reporting for conferences and client receptions.
  • Provide regular updates to managers and event hosts regarding attendance, logistics, and timelines.

Database & Regional Coordination

  • Partner with and guide regional administrative staff in maintaining and managing a client database of 17,000+ contacts. Ensure consistency in event communications and contact management across regions.

Promotional & Branding Support

  • Select and coordinate promotional items for conferences, client receptions, and career fairs.
  • Ensure branding consistency across materials and event collateral.

Systems & Reporting

  • Utilize and become proficient in firm software including SharePoint, Azure, Power BI, and Deltek Vantagepoint.
  • Track event metrics and support reporting as needed.

Required Qualifications

  • 5+ years of experience in event coordination, marketing, or corporate event planning.
  • Strong organizational skills and ability to prioritize simultaneous events; meeting deadlines and working well under pressure.
  • Excellent written and verbal communication skills.
  • Willingness to travel as required.
  • Proficiency in Microsoft Office (Word, Excel, Outlook); experience with CRM or event management systems preferred.
  • Ability to learn and develop an understanding of Planning, Engineering and Construction consulting.
  • Experience with Canva or similar design platforms (e.g., Adobe Creative Suite) to create polished event invitations, signage, and branded materials aligned with firm standards.
