Job Summary:

Our client is seeking a highly organized and detail-oriented Events & Conference Planning Manager to lead and coordinate the planning and execution of corporate events, conferences, meetings, weddings, and special functions. This role acts as the key liaison between clients and internal departments to ensure exceptional service delivery and seamless event execution from start to finish.

Key Responsibilities:

Event Planning & Coordination:

  • Plan, coordinate, and execute all details of events, including timelines, menus, room layouts, audiovisual requirements, and guest accommodations.
  • Serve as the primary contact for event clients, ensuring clear communication and responsiveness throughout the planning process.
  • Conduct site visits and pre-event meetings with clients as needed.

Conference Services:

  • Collaborate with sales, catering, banquet, and operations teams to ensure successful conference setup and delivery.
  • Manage room blocks, breakout sessions, exhibit layouts, signage, and scheduling for conferences and multi-day events.
  • Ensure compliance with venue policies, safety standards, and client requirements.

Client Relations & Communication:

  • Develop and maintain strong relationships with new and repeat clients.
  • Anticipate client needs and provide proactive solutions.
  • Handle last-minute changes, troubleshooting, and on-site event support with professionalism and efficiency.

Administrative & Financial Duties:

  • Prepare event proposals, contracts, and billing details in collaboration with the sales and finance teams.
  • Track budgets, monitor costs, and ensure profitability of events.
  • Maintain accurate records and post-event reports for analysis and follow-up.

Qualifications:

  • 3–5 years of experience in event planning, conference services, or hospitality management.
  • Strong understanding of event logistics, banquet operations, and conference planning.
  • Excellent communication, negotiation, and interpersonal skills.
  • Ability to manage multiple events simultaneously and work under pressure.
  • Proficiency in event planning software, Microsoft Office Suite, and hotel property management systems (PMS).
  • Degree or diploma in Hospitality, Event Management, or related field preferred.
