Job description

Position Overview

Adriana's is seeking a highly organized, experienced, and proactive Executive Assistant to support our Sales Director in daily operations, day-to-day initiatives, and reporting functions. The ideal candidate is bilingual in English and Spanish, well-spoken, detail-oriented, and capable of maintaining structure across projects and processes.

This role will require a high level of flexibility and adaptability. As the Executive Assistant, you will support both professional and personal responsibilities. The ideal candidate is proactive, resourceful, and comfortable handling a wide range of tasks from managing calendars and coordinating meetings to assisting with occasional personal matters or time-sensitive requests outside of standard business hours. We are looking for someone dependable, responsive, and solutions-oriented who can anticipate needs and handle responsibilities with discretion and efficiency.


Key Responsibilities

  • Provide administrative and operational support to the Sales Marketing Director
  • Prepare, analyze, and maintain sales reports, performance dashboards, and KPI tracking
  • Track projects, timelines, deliverables, and internal processes to ensure efficiency
  • Coordinate meetings, prepare agendas, and document action items and follow-ups
  • Communicate professionally with internal teams, and stakeholders in both English and Spanish
  • Assist in project planning, forecasting, and performance analysis
  • Maintain organized documentation of contracts, proposals, and materials
  • Identify process improvements and implement structured workflows
  • Assist in personal matters, which could include but not limited to event planning, researching, and purchasing of items
  • Vendor delegation and negotiation of contracts


Qualifications

  • Proven experience in a Sales Assistant, Executive Assistant, or similar support role
  • Fluency in both English and Spanish (spoken and written)
  • Excellent organizational and project management abilities
  • Well-spoken with strong verbal and written communication skills
  • Proficiency in Microsoft Office (Excel, PowerPoint, Word) and CRM systems
  • Ability to maintain confidentiality and professionalism
  • Strong attention to detail and ability to work independently

Schedule: Monday- Friday 10:00 am to 7:00pm on call as needed on weekends
