What does an event organizer planner do?

An Event Organizer Planner is responsible for coordinating and managing all aspects of events such as conferences, weddings, trade shows, and other gatherings. Their duties include selecting venues, arranging catering, managing budgets, coordinating logistics, and ensuring that all details run smoothly before, during, and after the event. They often work closely with clients to understand their vision and execute it effectively, handling any issues that arise and making sure the event meets expectations.

What are the key skills and qualifications needed to thrive as an event organizer planner?

To thrive as an Event Organizer Planner, you need strong project management abilities, attention to detail, and typically a background in hospitality, communications, or event management. Proficiency with event management software (such as Cvent or Eventbrite), budgeting tools, and basic marketing platforms is often required. Outstanding communication, creativity, and adaptability are essential soft skills for building client relationships and handling unexpected changes. These skills ensure successful event execution, client satisfaction, and the ability to manage complex logistics efficiently.

What are the main challenges an event organizer planner faces when coordinating multiple events simultaneously?

One of the primary challenges in this role is managing overlapping timelines and competing priorities, especially when handling several events at once. Event Organizer Planners must excel at time management and multitasking, ensuring that vendors, venues, and clients are all aligned without sacrificing attention to detail. Effective communication and contingency planning are crucial, as unexpected changes or last-minute requests are common. Building strong relationships with reliable partners and leveraging event management software can help streamline coordination and reduce stress in these situations.

Job description

Marketing Event Manager

eMed | Marketing & Sales Enablement

Reports to: VP, B2B Marketing

About eMed

eMed is a clinician-led digital health company delivering GLP-1 medication management and population health programs to employer clients nationwide. Our team partners with benefits leaders, brokers, and clinical experts to bring scalable, evidence-based weight and metabolic health solutions to the workplace. We're growing our marketplace presence through strategic sponsorships, sales events, and partner activations โ€” and we're looking for an Event Coordinator to help lead that charge.

About the Role

The Event Manager will support eMed's event sponsorships, sales events, and partner engagements, helping strengthen our visibility with employer benefits decision-makers (CEOs, CFOs, CHROs) and broker/partner audiences. This role is ideal for someone who is organized, detail-oriented, and eager to learn the fundamentals of event planning and marketing execution in a fast-paced healthcare company. You'll work closely with marketing and sales team members, taking direction on event logistics while gradually taking on more ownership as you grow in the role.

What Youโ€™ll Do

Event Sponsorships

  • Support logistics, finance approvals and timelines for industry conference and association sponsorships under the guidance of senior team members
  • Help coordinate booth materials, signage, and collateral shipments
  • Track sponsorship deliverables (attendee lists, branding placements) and flag issues to the team
  • Assist with vendor and event organizer communications

Sales Events

  • Assist with planning and on-site support for sales-driven events, including client dinners, executive briefings, and regional roadshows
  • Help coordinate scheduling, venue research, catering orders, and logistics checklists
  • Manage guest lists, invitations, and RSVP tracking
  • Provide day-of support to ensure events run smoothly

Partner Events

  • Support coordination of co-branded and joint events with broker, consultant, and strategic partners
  • Help manage webinar logistics, including scheduling, calendar invites, and platform setup
  • Assist with organizing follow-up materials and communications for partner audiences

Cross-Functional Support

  • Help maintain the event calendar and track basic budget line items
  • Assist marketing with event collateral, signage, and branded materials
  • Support vendor coordination (AV, catering, printing, swag, travel)
  • Help with internal communications for company events (e.g., summits, team offsites)
  • Compile basic post-event data (attendance, costs, lead capture) for team reporting
What You Bring
  • 5+ years of experience in event planning, coordination, marketing, or a related field. Pharma related experience a plus.
  • Bachelor's degree preferred, or equivalent experience
  • Strong organizational skills and attention to detail
  • Clear written and verbal communication skills
  • A proactive, can-do attitude and willingness to learn
  • Comfort juggling multiple tasks and deadlines in a fast-paced environment
  • Willingness to travel occasionally for on-site event support
Why eMed

Join a mission-driven team building the future of clinician-led, tech-enabled health programs. This is a great opportunity to launch your career in event marketing, gain hands-on experience across sponsorships, sales events, and partner activations, and grow alongside a team that's shaping how eMed shows up in the marketplace.
