Job description

Description:

Are you someone who enjoys being the person everyone can count on to keep things running smoothly? Do you thrive in a fast-paced environment where no two days look the same and your work directly supports both people and operations?

At IdeaTek, we aren't just an internet service provider—we're Freedom Fighters. We believe high-speed, reliable internet is a fundamental right, not a luxury. As we expand our fiber network into Tucson, we're looking for an Office & Site Operations Coordinator to become the operational hub of our local office.

In this role, you'll help create an exceptional experience for employees, visitors, and partners while supporting the daily operations that keep our Tucson team moving forward. From office administration and inventory coordination to onboarding support and community event assistance, you'll play a critical role in ensuring our people have the resources, organization, and support they need to succeed.

A Day in the Life

You'll quickly become one of the most connected people in the Tucson office. You'll collaborate with employees across Operations, Construction, Human Resources, and Community Relations while serving as the go-to person for office coordination, inventory support, vendor relationships, and employee logistics. Your ability to stay organized and anticipate needs will help build the foundation that allows our local team to thrive as we continue expanding across Southern Arizona.

What You'll Do

Key responsibilities include:

  • Serve as the primary point of contact for the Tucson office by welcoming visitors, managing incoming deliveries, maintaining office supplies, and coordinating facility needs.
  • Support inventory and logistics operations by receiving equipment, organizing materials, monitoring inventory levels, and coordinating reorder requests.
  • Assist with fleet and company asset tracking, including tools, devices, and vehicle maintenance coordination.
  • Support employee onboarding by preparing workstations, assisting with I-9 verification, coordinating building access, and creating a welcoming first-day experience.
  • Coordinate office meetings, employee events, catering, and initiatives that promote a positive workplace culture.
  • Assist Human Resources by maintaining documentation, distributing information, and supporting local employee administrative needs.
  • Provide administrative support for community outreach efforts by assisting with local events, coordinating logistics, and serving as a backup to the Community Relations Manager when needed.
  • Build strong relationships with local vendors, building management, and internal teams to keep daily operations running efficiently.

What We're Looking For

To be considered for this role, you'll need the following required qualifications:

  • 2+ years of experience in office administration, office coordination, operations, or a related role.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office, particularly Excel, and Google Workspace.
  • Ability to quickly learn new business systems, inventory software, or HR platforms.
  • Excellent written and verbal communication skills.
  • Valid driver's license.
  • Ability to lift up to 20 pounds as needed for office supplies & deliveries

What Will Help You Stand Out

Preferred Qualifications:

  • Bilingual proficiency in English and Spanish.
  • Experience in telecommunications, construction, logistics, warehouse operations, or a field services environment.
  • Experience supporting onboarding or employee operations.
  • Experience with inventory management or supply chain processes.
  • Experience coordinating meetings, employee events, or community activities.
  • Experience working with ERP, HRIS, or inventory management software.

Desired Attributes

Beyond the qualifications, these attributes are what make someone a great fit for our team:

  • Highly Organized – You enjoy creating structure, staying ahead of priorities, and keeping operations running smoothly.
  • Resourceful – You proactively solve problems and find practical solutions when unexpected challenges arise.
  • Customer-Focused – Whether supporting employees, visitors, or community members, you create positive experiences through exceptional service.
  • Adaptable – You thrive in a role where priorities shift and every day brings something new.
  • Dependable – People know they can count on you to follow through and keep things moving.
