What does an event manager do?

An Event Manager is responsible for planning, organizing, and overseeing events such as conferences, weddings, corporate meetings, and festivals. They coordinate all aspects of the event, including budgeting, venue selection, vendor management, logistics, and on-site execution. Event Managers work closely with clients to ensure their vision is realized and troubleshoot any issues that arise during the event. Their goal is to deliver successful and memorable experiences while staying within budget and meeting client expectations.

What does an event manager do?

Event managers plan, organize, and supervise events, such as business conferences, weddings, and festivals. They handle all the arrangements required to make the event run smoothly. Event managers determine what the client needs and expects; then they coordinate the preparations leading up to the event, including booking venues, scheduling transportation, and selecting the food and decorations. They may even need to hire staff for the event. Event managers may need to employ reliable waiters, entertaining DJs, and talented photographers. Event managers monitor payments and budget, and ensure the event meets all required safety regulations. Large-scale corporate gatherings require management, so the event manager often delegates and oversees planning tasks to focus on operating on-site the night of the occasion.

What are the key skills and qualifications needed to thrive as an event manager, and why are they important?

To thrive as an Event Manager, you need strong organizational skills, project management experience, and often a degree in hospitality, marketing, or a related field. Familiarity with event management software, budgeting tools, and customer relationship management (CRM) systems is typically required. Outstanding communication, problem-solving, and leadership abilities help you manage teams and client expectations effectively. These skills are vital to ensure seamless event execution, client satisfaction, and the ability to handle unforeseen challenges.

What are some common challenges faced by event managers when coordinating large-scale events, and how can these be effectively managed?

Event Managers often encounter challenges such as last-minute changes, coordinating multiple vendors, and ensuring seamless communication among stakeholders. Effective management involves meticulous planning, maintaining a detailed timeline, and using event management software to track progress and responsibilities. Building strong relationships with reliable vendors and establishing clear communication protocols with the team can also help address unexpected issues quickly and efficiently. Flexibility and problem-solving skills are essential to adapt to changing circumstances and deliver successful events.

Role Description

Manage bar operations effectively through proper planning, ordering, staffing and execution of services. Ensure that all systems and processes are being followed and executed to provide the best bar experience possible for our customers.

The Bar manager is required to work onsite at 10 South two days per week—Monday and Thursday—on any week that we have events. Approximate Bar Manager hours are 10-12 per week, with additional hours available serving as a regular 10 South Bartender, taking occasional shifts alongside their staff, to support effective teamwork, communication, and adherence to processes.

Responsibilities

Staff Management

  • Fully owning all bar staff management duties: training, coaching, celebrating, disciplining, and developing bar staff members to perform at their highest potential in this role and provide our customers with excellent service.
  • Effectively managing members of the bar staff (i.e. bartenders and barbacks).
  • Efficiently communicating weekly updates to bar staff members.
  • Creating and maintaining the bar staff schedule.
  • Conducting bar staff interviews and orientation/training.

Operations Management

  • Ordering product according to cost metrics (including specialty requests and pricing) and communicating with distributors.
  • Preparing bar schedule and inventory in advance of event weekends (reviewing event timelines, bar packages, special requests, staffing needs, etc. ahead of each event).
  • Conducting weekly inventory checks.
  • Receiving and organizing all incoming deliveries for proper organization of storage spaces (liquor room and basement storage), organizing for weekend events, and preparing for incoming deliveries.
  • Attending weekly BEO meetings each Thursday.
  • Ensuring proper systems are in place to support the maintenance, cleanliness and organization of both in-house bars.
  • Stocking and prepping the bar before weekend events (stocking the cooler, prepping simple syrups, replacing supplies behind the bar, etc.)
  • Reviewing current checklists and editing for improvement, and creating checklists to ensure events are executed properly.
  • Communicating discrepancies to distributors and/or Event Managers proactively.
  • Communicating with customers as needed by Event Managers

Compensation Pay:

  • Bar Manager: $23.00 per hour for hours worked as Bar Manager (work performed outside of events, not tending bar). Not to exceed an average of 10-12 hours per week.
  • Bartender: $7.50 per hour plus tips, with a per-fully-executed event guarantee of $300.00 for standard events (weddings) and $200.00 non-standard events (corporate, etc.).
Requirements:

Uphold and demonstrate our Core Values:

  • CARE: We care first for each other, then customers
  • SERVICE: We wow our customers with service and hospitality
  • PROCESS: We follow repeatable systems to ensure consistently excellent experiences for our customers and co-workers
  • IMPROVEMENT: We constantly improve and raise the bar on our service experience, our facility, our brand, and ourselves.
