Position Overview:

Alexander Group is seeking a dynamic Registration/Event Coordinatorย to join our team. The ideal candidate is an excellent communicator, able to work as part of a team, handle multiple tasks and interact with diverse groups of people. In this role, you will contribute to the success of various events (our portfolio includes forums, symposiums, webinars and industry-specific events) designed for and attended by Fortune 1000 revenue growth executives.

Key Responsibilities:

  • Daily orchestration of registration activities and communications, fielding guest questions and generating accurate reports daily/weekly (or as needed) for events
  • Point of coordinating small events, ensuring that all logistical details are handled with precision and that the events run smoothly
  • Drive project timelines to stay organized and meet all deadlines
  • Support the event lifecycle for Alexander Group events, from initial requests through execution and post-event reporting
  • Monitor and evaluate the success of events and suggest improvements for future events
  • Participate in meetings with cross functional partners to provide input on event strategies and gather feedback
  • Serve as a main liaison for communications for event-related information, such as save-the-dates, invitations, registrations and confirmations
  • Contribute to venue selection processes
  • Orchestrate hotel room blocks, 3-5 events a year. Maintaining accurate rooming lists and contribute to attrition conversations based on registration volume/data
  • Support on-site execution, staffing and vendor management, contributing to the overall success of events
  • Join the Event team on pre-conference calls for events, assist with data entry, and support the execution of events, ensuring all details are meticulously managed
  • Master the usage of our EMS (Event Management System) to detail reservations, review incoming requests and manage all guest logistics efficiently
  • Understand meeting room capabilities and catering offerings to provide informed assistance to guests and employees
  • Use technology tools โ€“ Salesforce.com, Cvent (registration management system) and MS Office to ensure accurate and timely data entry and guest communications
  • Support KPI measurement and reporting, ensuring event success is measured against key objectives
  • As needed support for the event management leaders
  • Maintain confidentiality of proprietary company and guest information
  • Actively pursue professional development opportunities to stay ahead of trends in B2B event coordination

Qualifications:

  • Proven experience (3-5 years) in business event coordination and/or in a B2B/B2C marketing coordination role
  • Maintain a high-level of world class responsiveness and professionalism to a wide range of guests/clients while representing the Firm
  • Ability to multitask and creatively problem solve under overlapping deadlines and in a live, fast-paced event environment
  • Highly collaborative, trustworthy, superb organization and communications skills, and tech savvy (MS Excel and Word experience required, Salesforce and Cvent experience a plus)
  • Ability to craft emails to guests with strong attention to detail and accuracy

Salary Range: $50,000 โ€“ $65,000; bonus eligible
