Job Description We are seeking a Temporary Event Associate to support a high volume of events during a busy programming season. Reporting to the Senior Events Manager, this role will provide administrative, logistical, and onsite support for conferences, workshops, lectures, scientific meetings, and community events. The ideal candidate is highly organized, detail-oriented, and enjoys managing multiple priorities while delivering exceptional experiences for attendees, speakers, and stakeholders.

Key Responsibilities Support the planning and execution of onsite and offsite events from initial coordination through post-event follow-up Coordinate attendee registration, event communications, travel arrangements, hotel accommodations, transportation logistics, and catering needs Build and maintain event registration pages, websites, attendee communications, and event documentation using event management platforms Partner with vendors, venues, caterers, audiovisual teams, and internal stakeholders to ensure successful event execution Maintain project timelines, run-of-show documents, event materials, signage, name badges, agendas, and presentation materials Provide onsite event support, including registration management, room setup coordination, guest assistance, and troubleshooting Track event-related expenses, invoices, and budget documentation Deliver exceptional customer service while ensuring a seamless experience for attendees, speakers, and internal teams Qualifications 2-5+ years of event coordination, event operations, hospitality, conference services, or related experience Experience supporting corporate, nonprofit, academic, educational, or professional events Strong organizational skills with the ability to manage multiple projects and priorities simultaneously Excellent communication, customer service, and relationship management skills Experience coordinating vendors, registrations, attendee communications, and event logistics Proficiency with Microsoft Office Suite Ability to thrive in a fast-paced environment and adapt to changing priorities Experience with Cvent or other event management platforms preferred Familiarity with event technology and audiovisual coordination is a plus Compensation & Schedule $30-$38 per hour, depending on experience Temporary assignment beginning July 2026 through October 2026, with strong potential for extension Fully on-site, 5 days per week New York, NY Flexibility required for occasional early mornings, evenings, and special events
