The Opportunity:

We are a professional staffing firm partnering with organizations nationwide to connect exceptional professionals with career opportunities.

One of our clients, a growing, high-volume, technology-forward title and escrow company in the Tulsa market, is confidentially seeking an experienced Escrow Assistant / Escrow Processor to join its team.

This opportunity is specifically designed for someone who is currently working, or has recently worked, as an Escrow Assistant or Escrow Processor within the title and escrow industry and understands what it takes to keep residential transactions moving from opening through closing.

If you are accustomed to managing multiple files, communicating with all parties to a transaction, staying ahead of deadlines, and supporting Escrow Officers in a fast-paced environment, we want to hear from you.

Qualia experience is highly desirable.


What You'll Do:

You will work closely with Escrow Officers and the broader title team to help coordinate residential transactions from file opening through closing and post-closing.

Responsibilities include:

  • Open and maintain escrow files, including accurate transaction entry and file updates.
  • Review contracts and incoming documentation for completeness.
  • Order and track payoffs, HOA documents, surveys, taxes, liens, and other transaction requirements.
  • Communicate with buyers, sellers, agents, lenders, attorneys, and vendors.
  • Track title requirements and proactively follow up on outstanding items.
  • Prepare files and documentation for upcoming closings.
  • Assist with settlement statements, Closing Disclosures, and closing packages.
  • Coordinate and confirm closing appointments.
  • Maintain accurate file notes, documentation, deadlines, and task updates.
  • Support funding, recording, disbursement, and post-closing activities.
  • Keep Escrow Officers informed of file status, outstanding requirements, and potential closing issues.

What We're Looking For:

Recent Escrow Assistant or Escrow Processor experience is required. This search is focused on candidates with direct title and escrow experience rather than mortgage or loan processing backgrounds.

Strong candidates will also bring:

  • Hands-on experience supporting residential purchase and/or refinance transactions.
  • Working knowledge of title commitments, payoffs, settlement statements, Closing Disclosures, and closing documentation.
  • Experience managing multiple active transactions and competing deadlines.
  • Strong communication with agents, lenders, buyers, sellers, and other transaction partners.
  • Excellent attention to detail, organization, and follow-through.
  • Comfort working in a technology-driven, high-volume environment.
  • Qualia experience is a strong plus.
