We are a professional staffing firm, working with organizations across the country to place exceptional candidates. Currently, we have a growing, savvy, and tech-forward title company looking for an Escrow Officer and Escrow Assistant to keep up with their volume.


Position Overview

A growing title and escrow company in the Tulsa market is confidentially seeking an experienced Escrow Officer to join its team. This is an excellent opportunity for a knowledgeable title professional who enjoys managing transactions from opening through closing while providing an exceptional experience for buyers, sellers, real estate agents, lenders, and other transaction partners.

The ideal candidate has hands-on residential title and escrow experience, understands the Oklahoma closing process, and is comfortable independently managing a pipeline of files in a fast-paced, client-focused environment.

Experience with Qualia is strongly preferred.


Key Responsibilities

  • Manage residential real estate transactions from opening through closing and post-closing.
  • Review contracts, title commitments, lender instructions, payoffs, surveys, invoices, and other transaction documentation.
  • Coordinate with buyers, sellers, real estate agents, lenders, attorneys, and other parties throughout the closing process.
  • Prepare and review settlement statements, Closing Disclosures, and other closing documents for accuracy.
  • Identify and assist with resolving title requirements, liens, judgments, payoff issues, and other items necessary to clear transactions for closing.
  • Coordinate signing appointments and conduct closings professionally and confidently.
  • Verify that all required documentation and funding conditions have been satisfied before disbursement.
  • Receive, balance, and disburse escrow funds in accordance with company procedures and transaction requirements.
  • Maintain accurate and complete transaction files within Qualia.
  • Provide proactive status updates and respond promptly to clients and transaction partners.
  • Work closely with title, escrow, processing, and post-closing team members to ensure timely and accurate closings.
  • Maintain compliance with applicable title, escrow, privacy, and company requirements.
  • Develop and maintain strong relationships with real estate agents, lenders, investors, and other referral partners.


Qualifications

  • 3+ years of experience as an Escrow Officer, Closer, or similar title/escrow professional preferred.
  • Strong knowledge of residential real estate transactions and the closing process.
  • Oklahoma title and escrow experience strongly preferred.
  • Experience independently managing files from opening through funding and disbursement.
  • Qualia experience highly preferred.
  • Strong understanding of title commitments, settlement statements, Closing Disclosures, lender instructions, and closing documentation.
  • Excellent organizational skills with the ability to manage multiple transactions and deadlines simultaneously.

This position will work closely with Escrow Officers to coordinate residential real estate transactions from opening through closing. The ideal candidate is highly organized, responsive, comfortable communicating with multiple parties, and able to keep transactions moving in a deadline-driven environment.

Previous title, escrow, mortgage, real estate, or closing experience is preferred, and experience with Qualia is a strong plus.


Key Responsibilities

  • Open new escrow files and enter transaction information accurately into Qualia.
  • Assist Escrow Officers with managing files throughout the transaction lifecycle.
  • Review incoming contracts and documentation for completeness.
  • Order and track payoffs, HOA information, surveys, tax information, lien information, and other required documents.
  • Communicate with buyers, sellers, real estate agents, lenders, attorneys, and vendors to obtain outstanding information and documentation.
  • Assist with clearing title requirements and tracking outstanding items before closing.
  • Prepare files and documentation for upcoming closings.
  • Assist with settlement statements, Closing Disclosures, and other transaction documents as directed by the Escrow Officer.
  • Schedule and confirm closing appointments.
  • Maintain accurate notes, documents, tasks, and transaction updates within Qualia.
  • Monitor important dates and deadlines and proactively follow up on outstanding items.
  • Assist with funding, recording, disbursement, and post-closing activities as needed.
  • Respond promptly and professionally to client and transaction-partner questions.
  • Provide general administrative and operational support to the escrow team.


Qualifications

  • 1+ years of title, escrow, mortgage, real estate, closing, or related transactional experience preferred.
  • Previous Escrow Assistant, Escrow Processor, Title Processor, or Closing Assistant experience is a strong plus.
  • Qualia experience preferred.
  • Familiarity with real estate contracts, title commitments, payoffs, settlement statements, and closing documentation preferred.
  • Strong attention to detail and data-entry accuracy.
  • Excellent organizational and time-management skills.
  • Ability to prioritize multiple files and deadlines simultaneously.
  • Strong written and verbal communication skills.
  • Professional and customer-service oriented.
  • Comfortable learning new technology and working within electronic transaction-management systems.
  • Ability to work effectively both independently and as part of a collaborative escrow team.
