Position Description:

Provides project coordination for the Enterprise Portfolio Management Office (EPMO), partnering with project managers, product management, leaders, and business stakeholders to facilitate EPMO planning, execution, reporting and processes across multiple operational activities. Coordinates the project intake and estimating process, maintains schedules and milestones, prepares meeting materials, provides support in creating and maintaining EPMO process and training documentation, and contributes to the successful delivery of project and departmental objectives in alignment with organizational priorities.

Primary Job Responsibilities:

  • Coordinates project and operational activities across the Enterprise Portfolio Management Office (EPMO) by supporting project planning, maintaining delivery schedules, milestone tracking, status reporting, financial tracking, and process deliverables.
  • Partners with project managers, department leaders, and stakeholders to organize project activities, clarify priorities, track dependencies, and support alignment of project scope, schedules, and outcomes with organizational goals.
  • Facilitates project intake activities by coordinating submission, review, prioritization, and routing of new work requests, ensuring intake information is complete, documented, and ready for evaluation by appropriate EPMO and business stakeholders.
  • Facilitates the project estimating process by collecting input from Product Owners, Product Management and business partners; tracking estimate status; documenting assumptions, dependencies, and constraints; ensures estimates are prepared consistently for planning and decision-making; obtains stakeholder approval in alignment with established deadlines.
  • Facilitates meetings for project requirements, application design sessions, and process sessions by preparing agendas and materials, recording decisions and documenting follow-up actions, and creating deliverables and artifacts such as process documents, procedures, diagrams, story cards, and related project records.
  • Coordinates receipt and communication of business and customer priority lists for each Program Increment, ensuring prioritized features and requirements and acceptance criteria are entered in Agile tools, and works with Product Owners to ensure prioritized features are ready for PI Planning.
  • Supports Agile and project delivery teams through each PI by monitoring feature status, documenting risks and blockers, provides status to stakeholders and ensures project data accuracy in portfolio management tools used to monitor development and project progress.
  • Handles day-to-day project office administration including team communications, overseeing the EPMO Sharepoint site, and supporting EPMO team building and engagement activities.
  • Maintains accurate project documentation and reporting in approved collaboration and tracking tools, including Microsoft SharePoint, Microsoft Office applications, and other project management platforms used by the organization, ensuring data quality and reporting consistency.
  • Facilitates project closedown process by verifying staff hours entered into project tracking tools, working with finance and executive sponsors to obtain final cost approvals and ensuring projects are closed in all tracking tools. Works with technology teams and finance to resolve issues when needed.
  • Creates and prepares project-related communications, presentations for PI Planning, customer dashboards, and visual materials for leadership, project teams, and stakeholders.
  • Maintains departmental procedures, standards, and control documentation, including support for EPMO, process documentation and applicable compliance or audit-related records. Recommends and assists with driving process improvements.

Perform other related assigned duties as necessary to complete the Primary Job Responsibilities as described above.

Minimum Requirements:

Position requires a bachelor's degree in business administration, information systems, project management, or a related field and three years of experience coordinating technical projects, supporting project delivery, maintaining project or portfolio data, and preparing reports and documentation in a cross-functional business environment. PMP certification or similar preferred. Will accept any suitable combination of education, training or experience.
Position requires working knowledge of project management principles, practices, and project lifecycle activities; practical knowledge of Agile delivery and software development processes; proficiency with Microsoft Word, Excel, PowerPoint, Visio, and SharePoint; and familiarity with project or portfolio management tools such as Planview, Jira, Agility, or similar platforms; the ability to coordinate multiple concurrent projects and operational priorities; maintain schedules, milestones, dependencies, financial information, risks, issues, and action items; facilitate intake, estimating, and working sessions; prepare accurate status reports, dashboards, meeting materials, and executive-ready communications; analyze project data to identify variances and trends; maintain controlled documentation and data quality; and collaborate effectively with leaders, project teams, vendors, Product Owners, and cross-functional stakeholders; strong organizational, time management, analytical, problem-solving, communication, follow-through, and accountability skills.
