POSITION: EPIC EHR Analyst

DEPARTMENT: Information Technology

LOCATION: 1575 Blue Hill Avenue, Mattapan, MA 02126

REPORTS TO: Director of Information Technology

TYPE: Full-Time

SALARY: $65,000 - $73,000 annually

JOB SUMMARY:

This position shall have primary responsibility as the OCHIN/EPIC application expert, end user trainer, support person, and technical support for testing and for maintaining member-managed components of the software. The position will report directly to the Director of IT and be a member of the IT Team.

This is a full time on-site position. Consultants need not apply.


RESPONSIBILITIES

OCHIN/EPIC Support - 90%

  • Provide direct support to all EPIC EHR users across all health center departments to ensure effective adoption, optimization, and use of the EHR application.
  • Collaborate with leadership across departments, including Medical, Behavioral Health and Dental, and users to identify opportunities for efficiencies in operations, clinical practice support, and improve health outcomes for patients.
  • Provide daily support to Epic applications users through troubleshooting, coaching, and consulting.
  • Identify, assess, and troubleshoot application and equipment issues as they occur, assume ownership of issues through resolution, coordinating with internal IT and Epic EHR support teams as needed. Refer issues that require additional assistance to the member’s IT/Help Desk or OCHIN’s Help Desk, including technical and workflow information necessary to resolve the issue. Communicate resolutions to the user when completed.
  • Maintain member-managed system setup such as preference lists, SmartPhrases, and fee schedules for service area.
  • Manage error queues and In Basket pools established for member organization.
  • Collaborate with clinicians and follow established OCHIN/EPIC EHR governance processes to evaluate, coordinate, and manage requests for system enhancements, clinical documentation tools, coding updates, and workflow improvements. Communicate request status, provide timely updates, manage expectations throughout the process, and support users in optimizing available EHR functionality.
  • Collaborate with OCHIN/EPIC and member oversight or advisory workgroups to optimize use of the system through implementation of new Epic EHR features and upgrades.
  • Collaborate with OCHIN/EPIC to test new features and upgrades prior to implementation. This includes establishment, management and coordination of User Acceptance Teams (UAT) on an as needed basis.
  • Attend appropriate clinic department meetings as Epic expert and as OCHIN/EPIC liaison.
  • Provide support of new clinical programs.

Training - 10%

  • Demonstrate outstanding interpersonal communications skills and adult teaching techniques.
  • Coordinate and provide OCHIN/EPIC training for new staff, providers, and other authorized users during onboarding. Coordinate system access and user credentials, and provide go-live support in accordance with established policies and procedures
  • Provide competency/efficiency training for existing users.
  • Support and upgrade training in collaboration with OCHIN/EPIC and Member organization.
  • Collaborate and coordinate with OCHIN/EPIC and any Member support teams, including Help Desk, to translate learnings and experiences into documentation, training aides, newsletters or other materials appropriate for MCHC.
  • Participate in OCHIN/EPIC committees, workgroups, conferences, and other professional development activities to remain current on system enhancements, best practices, and emerging trends, and support organizational adoption of OCHIN/EPIC initiatives.

Must cooperate fully with MCHC’s Corporate Compliance Program and performs all tasks as assigned by the Director of IT.

Requirements:

SUMMARY OF QUALIFICATIONS AND REQUIREMENTS:

  • 1-6 years of experience in a similar supportive EHR role required, OCHIN/EPIC strongly preferred.
  • Demonstrated ability to effectively train and coach end-users to higher levels of EMR efficiency.
  • Excellent interpersonal, verbal, and written communication skills with the ability to work collaboratively with clinical, administrative, and operational staff at all levels of the organization.
  • Strong project management and organizational skills with the ability to manage multiple priorities, meet deadlines, and coordinate cross-functional initiatives.
  • Proficiency with Microsoft Office Suite, Outlook, Teams, Word, Excell and PowerPoint
