Associate Sales Administrator (Sales Operations)

Location: Costa Rica (Full-time remote role)

Overview

We are seeking an Associate Sales Administrator to support our Sales Operations team in managing and optimizing the flow of sales data from opportunity creation through project execution and invoicing.

This role plays a critical part in ensuring accuracy, efficiency, and alignment across sales, finance, and operations systems.

Key Responsibilities

  • Validate and manage sales opportunity data within Salesforce CRM
  • Ensure accuracy of key inputs including: Pricing and margin
  • Contract status (MSA/SOW)
  • Supporting documentation
  • Coordinate the flow of data across systems: Salesforce ? JIRA ? Projector ? NetSuite
  • Create and manage JIRA tickets to support project initiation
  • Support project setup in Projector, including resource planning and time tracking alignment
  • Review Statements of Work (SOWs) and identify discrepancies or missing information
  • Collaborate with sales, finance, and operations teams to resolve data issues
  • Generate and analyze reports to ensure data integrity and process effectiveness
  • Continuously improve data quality and operational workflows

Required Experience

2-5 years of experience in:

  • Sales or Finance operations or administrative support within a commercial environment

Hands-on experience with:

  • Salesforce CRM (required)

Exposure to:

  • JIRA
  • Projector (PSA tools)
  • NetSuite
  • Experience supporting sales and/or marketing teams
  • Familiarity with invoicing, net terms, and revenue processes

Preferred experience

  • Experience with PSA tools (Projector or similar)
  • Experience in professional services or consulting environments
  • Familiarity with procurement/vendor systems (Fieldglass, Beeline, etc.)

Skills

  • Strong attention to detail and data accuracy
  • Analytical mindset with ability to identify discrepancies
  • Ability to manage multiple tasks and priorities
  • Strong communication skills across cross-functional teams
  • Proficiency in Excel and Microsoft tools
