Overview

Job Title: Mail/Finishing Level 1
Location:Dallas, TX
Job Type: Hourly Consultant
Hours: Monday to Friday 8:00am to 5:00pm
Pay: $18.00/hr

Essential Functions:

  • Receive, sort, and process mail, documents, packages, and supplies; notify recipients as required

  • Deliver and pick up mail on scheduled mail runs

  • Record and process accountable mail information and maintain accurate logs

  • Track, trace, and resolve mail issues with USPS, express carriers, and local delivery services

  • Prepare mail and packages for external shipment and coordinate deliveries and pickups, including USPS pickup/delivery when applicable

  • Perform quality checks on outbound mail

  • Validate internal mail addresses and conduct barcode address lookups

  • Utilize common mail services including fax, postal services, and air express shipping

  • Complete shipping forms and/or enter shipment data electronically into shipping systems according to job tickets

  • Perform finishing work on mail documents, including folding, inserting, and packaging

  • Perform electronic mail distribution including opening, scanning, mail preparation, and distribution

  • Support fulfillment functions including assembly, packaging, shipping, and tracking of kitted materials

  • Follow established mailroom security procedures

  • Perform barcode tracking and/or face scanning of incoming mail and packages

  • Log, transmit, receive, and distribute faxes in a timely manner

  • Support shipping and receiving activities using automated tracking systems

  • Monitor, order, and replenish inventory and mailroom supplies

  • Send and receive email communications related to mailroom operations

  • Arrange alternative courier or shipping services to meet customer requirements

  • Operate, clean, and maintain all mail and shipping equipment

  • Contact service vendors for maintenance or repair of mail and shipping equipment when needed

  • Determine appropriate output packaging according to packaging standards

  • Perform driving duties if required

  • Utilize mailroom and finishing equipment including:

    • Finishing equipment

    • Inserters

    • Postage meters

    • Envelope printers

    • Scales

    • Pitney Bowes Mail Management Systems

    • FedEx shipping systems

Skills:

  • Ability to lift and move up to 50 pounds

  • Ability to read, write, and follow instructions in English

  • Basic PC and internet skills including:

    • Opening applications

    • Creating and locating file folders

    • Finding, opening, renaming, deleting, and recovering files

    • Sending and managing emails and attachments

    • Basic internet navigation and website usage

    • Introductory knowledge of Microsoft Word or equivalent

    • Introductory knowledge of Microsoft Excel or equivalent

  • Strong customer service and communication skills

  • Ability to manage multiple tasks effectively

  • Ability to work independently with minimal supervision

  • Strong data entry skills and attention to detail

Experience:

  • Experience delivering services in a client-facing environment preferred

Education:

  • Minimum: High School Diploma or equivalent

Excellent verbal and written English communication skills and the ability to interact professionally with a diverse group are required.
