Summary
Assists the paralegals and/or attorneys by maintaining case files, preparing documents for production, organizing and maintaining case or other files, updating and maintaining databases, preparing closing books, obtaining information for internal and external sources and performing other administrative tasks.

Location

This position can sit in our Chicago office and offers a hybrid work schedule.


Responsibilities

  • Organizes document production for attorney review.
  • Researches public records using public websites.
  • Assists with preparing a variety of documents, forms, chart, letters, etc.
  • Performs database research and data entry.
  • Obtains documents and other information from cities, municipalities or public agencies.
  • Assists paralegals and attorneys with mailings and filings.
  • Drafting reporting emails (Declaration of Use, Renewal, Notice of Allowance, etc.)
  • iManage E-filing, High Q Room Maintenance.
  • Incoming and Outgoing Transfers.
  • Sending daily morning and afternoon docket report reminders.
  • Cost estimates - Global IP.
  • Generating trademark portfolio reports and upcoming deadline reports.
  • Drafting reporting and instructing emails to local counsel.
  • Independent research for trademark team (client contact and current standing with DLA).
  • Conflict searches.
  • Other duties as assigned.


Skills and Competencies

  • Demonstrated basic level of proficiency in Word, Excel, Outlook and database experience.
  • Office experience in a law firm environment supporting paralegals and/or attorneys preferred.
  • Strong communication and interpersonal skills required to interact with paralegals, attorneys and clients on a regular basis.
  • Excellent organizational and attention-to-detail skills necessary to manage volumes of documents, binders, letter, charts, etc.
  • Must have the ability to work effectively in a fast-paced environment. Ability to prioritize multiple assignments to meet deadlines.


Education

  • High School or GED


Preferred Education

  • Bachelor's Degree


Years of Experience

  • 1 year of experience with demonstrated success working in a fast-paced environment.

Physical Demands

Work Environment

The selected candidate will have the opportunity for a hybrid work arrangement combining remote and in-office work. The specific arrangement will be determined at the time of hiring and may be modified at the firm's discretion.

Compensation & Benefits

The firm's expected hiring range for this position is $34.09/hr - $44.32/hr, depending on the candidate's geographic location, experience, skills, educational background, and overall qualifications.
