Job description

The boutique Asset Based Lending Field exam firm located in Long Beach is looking for Business Support professional to join a team of auditors performing collateral exams for banks and lenders.  Supportive and small business office and family like environment.   The job can be full time or part time.  Qualified employees get benefits like medical, Dental, Vision, PTO, 401K matching, yearend bonus, and paid holidays are available to eligible candidates. 

Job Duties

· Coordinate exam logistics including scheduling, correspondence, assignments, and tracking via Teams Planner and SharePoint. Work with the team of auditors to create correspondence, files, send requests and make sure all the different tasks are being assigned and are getting executed in a timely manner and accurately. 

· Book and manage employee travel arrangements. Process and track business and employee expenses. Compile and submit expense      reports. 

. Monitor emails and flag upcoming deadlines, communication protocols, maintain contact and execution of assigned tasks. 

· QuickBooks invoice creation, application of payments, and renewal of business certifications.

. Office & Facilities Management, organize and maintain cleanliness and order in shared and personal spaces. Schedule vendors for deliveries, maintenance, office space.  Insurance and other office contracts review and completion.  

· Monitor and restock kitchen and office supplies 

· Organize and archive physical and digital files.

· Handle incoming calls and mail.

. Assist Executives with task as needed and assigned.  May involve marketing, special projects etc. 

Qualifications

· Experience in administrative or office support roles is highly desirable. 

· Excellent organizational and multitasking abilities.  

· Proficient with Microsoft Office Suite, Teams, SharePoint, and cloud storage platforms.

· Strong written and verbal communication skills. Proficient in English. 

· Ability to work independently, manage deadlines, and maintain confidentiality. 

. Ability to communicate with all levels of management. Customer service. 

· Familiarity with basic accounting, bookkeeping or expense tracking. 

. Bachelors or college degree preferred. 

. Training will be provided.
