Administrative Operations & Sales Assistant

Location: Leesburg, VA (Hybrid/Onsite Required)

Employment Type: Part-Time | Hourly

Position Summary

CMHWorks is seeking an organized, dependable, and motivated Administrative, Operations & Sales Assistant to join our growing team.

This is an excellent opportunity for someone early in their career who enjoys staying organized, helping others, learning new skills, and being involved in many areas of a business. You'll work closely with company leadership supporting our Sales, Operations, Recruiting, and Marketing teams.

This is an entry-level position with a defined growth path. As you gain experience and demonstrate success, you'll have opportunities to expand your responsibilities across internal teams. We believe in developing our team members and promoting growth from within whenever possible.

Primary Responsibilities

Administrative & Sales Support

  • Provide day-to-day administrative support to company leadership.
  • Assist with preparing proposals, presentations, reports, spreadsheets, and business correspondence.
  • Support the sales team by organizing customer and prospect information, maintaining CRM records, and assisting with sales-related administrative tasks.
  • Organize and maintain electronic files, company documents, and shared resources.
  • Track assigned tasks and follow up to ensure projects continue moving forward.
  • Assist with data entry and maintain accurate business records.
  • Help coordinate special projects and company initiatives.
  • Provide professional and courteous communication with clients, applicants, vendors, and team members.

Recruiting & Human Resources Support

  • Assist with recruiting activities, including posting job openings, coordinating interviews, and communicating with applicants.
  • Support the onboarding process by preparing new hire documentation, scheduling orientation sessions, and coordinating onboarding activities.
  • Help maintain personnel files and HR documentation while ensuring confidentiality.
  • Assist with contractor performance review scheduling and related documentation.
  • Support staff engagement and retention initiatives.
  • Assist with executing activities and processes that support the organization's recruitment, staffing, onboarding, and performance management efforts.
  • Help maintain accurate staffing records, reports, and documentation.

Marketing & Communications Support

  • Assist with scheduling, and publishing content across company communication channels.
  • Help monitor company social media platforms and respond to messages and comments in a timely and professional manner.
  • Compile basic website traffic, social media engagement, and marketing performance reports for leadership review.
  • Assist with updating website content and maintaining online information.
  • Supporting creation of newsletters, company announcements, presentations, and marketing materials.
  • Assist with email marketing campaigns and internal communications.
  • Maintain marketing assets, templates, and digital files.
  • Conduct research to support marketing initiatives and business development efforts.

Operations Support

  • Coordinate meeting logistics, prepare agendas, and distribute meeting notes when requested.
  • Help maintain company policies, forms, templates, and internal documentation.
  • Support company asset tracking and onboarding/offboarding logistics.
  • Help document processes and procedures to improve organizational efficiency.
  • Provide administrative support for various operational projects.
  • Perform other duties and special projects as assigned.

  • Must be physically located in or willing to commute regularly to Leesburg, VA (Loudoun County).
