Job description

HGA is seeking an organized, detail-oriented individual to join the procurement team and support project procurement activities. This position will assist with requests for quotation, supplier communications, bid evaluations, procurement reporting, vendor document tracking, purchase order support, and coordination with Procurement, Engineering, Project Management, Document Control, clients, and suppliers.
The position will work under the direction of the Procurement Director and is intended for an entry-level or early-career candidate who is organized, detail-oriented, dependable, and interested in developing a career in project procurement.
Key Responsibilities
  • Assist with preparing, reviewing, and issuing Requests for Quotation
  • Confirm inquiry packages include the appropriate specifications, data sheets, quantities, commercial requirements, and supporting documents
  • Coordinate supplier communications, proposal due dates, bid clarifications, and quotation follow-up
  • Assist with preparing commercial bid tabulations and evaluations
  • Review supplier quotations for completeness, pricing, schedule, commercial exceptions, and compliance with inquiry requirements
  • Support supplier qualification and onboarding activities
  • Assist with purchase requisitions, purchase order recommendations, change orders, and related documentation
  • Maintain procurement files, correspondence, supplier records, and supporting documentation
  • Assist with vendor document tracking, expediting, shipment status, and delivery follow-up
  • Update procurement plans, milestone reports, expediting reports, and other project tracking tools
  • Coordinate with Engineering, Project Management, Document Control, Accounting, clients, and suppliers
  • Identify and escalate procurement issues that may affect project cost, quality, or schedule
  • Perform other related duties as assigned
Required Qualifications
  • High school diploma or equivalent required
  • Associate or bachelor's degree in supply chain, business, construction management, or a related field preferred
  • Zero to three years of procurement, purchasing, project coordination, document control, administrative, or related experience
  • Strong organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Excel, Word, Outlook, and Teams
  • Ability to manage multiple assignments and deadlines
  • Ability to review detailed documents and identify missing or inconsistent information
  • Strong analytical and problem-solving skills
  • Ability to work effectively both independently and as part of a project team
  • Professional communication skills when interacting with suppliers, clients, and internal project teams
  • Willingness to learn procurement processes, commercial terms, project requirements, and HGA procedures
  • Experience in procurement, purchasing, project coordination, document control, or engineering projects is preferred
  • Experience working with ERP, procurement, document management, or similar business systems is a plus
