Position Summary

Order Entry Specialist is responsible for entering, reviewing, and processing customer orders accurately and efficiently. Reporting to Program Management, this entry-level role works closely with internal teams to ensure order details are complete, issues are resolved quickly, and customers receive timely updates throughout the fulfillment process.

Key Responsibilities & Duties

  • Accurately enter customer orders into the system (ERP/CRM) based on received documentation.
  • Review orders for completeness, pricing accuracy, product codes, and delivery of information.
  • Verify customer information, including billing and shipping details.
  • Communicate with customers or internal teams to resolve discrepancies or missing information.
  • Coordinate with sales, warehouse, and logistics teams to ensure timely order processing and fulfillment.
  • Monitor order status and provide updates to customers and stakeholders.
  • Maintain and update records related to orders, cancellations, and returns.
  • Assist with order adjustments, backorders, and documentation as needed.
  • Ensure compliance with company policies, procedures, and data accuracy standards.

Qualifications & Skills

  • High school diploma or equivalent required; additional education or coursework is a plus.
  • 1–3 years of experience in order entry, customer service, administrative support, or a similar office-based role preferred.
  • Basic understanding of order processing or supply chain workflows is helpful.
  • Strong attention to detail, data entry accuracy and effective organization and time management skills.
  • Customer-focused mindset, Team-oriented attitude, Adaptability and willingness to learn new systems
  • Experience using ERP or CRM systems such as SAP, Oracle, or Salesforce is a plus.
  • Clear written and verbal communication.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Problem-solving skills and a proactive approach to resolving issues.
  • Working knowledge of Microsoft Office, including Excel, Outlook, and Word.

Physical & Work Environment Requirements

  • Ability to work on-site in a factory environment (noise, temperature variation, PPE requirements)
  • Ability to stand, walk, and respond quickly to production floor issues
