Woodland Moving & Warehouse is looking for a dependable, organized, and ambitious Office Assistant to join our team.

This is not a quiet desk job where every day looks the same. Our office serves as the hub for a busy moving, storage, and transportation operation, and we're looking for someone who can keep up with a fast-paced environment while maintaining a high level of accuracy and professionalism.

As an Office Assistant, you'll work closely with our Operations, Sales, and Accounting teams to help ensure customers, crews, drivers, and office personnel stay connected and informed. From handling phone calls and processing paperwork to managing records and supporting daily operations, you'll play an important role in keeping the business running smoothly.

What You'll Be Doing

  • Answering incoming phone calls and assisting customers, drivers, crew members, and business partners
  • Responding to emails and requests for information in a professional and timely manner
  • Scanning, organizing, and maintaining electronic and paper records
  • Processing and routing time-sensitive documents to the appropriate departments
  • Preparing paperwork for dispatch, billing, compliance, and operational purposes
  • Performing data entry and verifying information for accuracy
  • Maintaining organized shipment, customer, and operational files
  • Assisting multiple departments with administrative projects and day-to-day support
  • Helping ensure important deadlines are met and information is properly documented

  • 18+ years old with a valid Driver’s License and reliable transportation to/from work

  • A positive, service-oriented attitude along with excellent follow-through abilities
  • An ambitious and proactive work ethic, along with an ability to meet critical time-sensitive deadlines · Strong computer skills (MS Office, CRM and/or QuickBooks experience are a plus!)
  • Excellent verbal and written communication skills using the English language
  • A strong grasp of fundamental accounting concepts along with an ability to perform basic, error-free calculations · Drug free (mandatory pre-employment drug test)
  • Mandatory background check

  • Administrative, office, customer service, bookkeeping, or data entry experience
  • Experience with QuickBooks, CRM systems, or transportation-related software
  • Familiarity with logistics, moving, transportation, or service-based industries
