Monday to Thursday 11:00 AM to 8:00 PM & Friday 10:00 AM to 7:00 PM

Job Summary: The Logistics Office Associate 1 contributes to the efficient operation of the logistics department by providing administrative support. Logistics Office Associate 1 in this job performs a range of general and specific administrative tasks including office/clerical tasks that can be easily learned on the job such as filing, copying, and collecting documents, answering phones, ordering and distributing supplies, and data entry. It also includes warehouse/driver support such as communicating with drivers, sales, and vendors when needed, and creating, and maintaining logistics-related data and reports. Other tasks may include but are not limited to maintaining customer records, sorting, and distributing incoming/ outgoing mail, printing invoices and assembling sheets, and/or receiving phone calls.

Essential Job Functions:

  • Coordinate warehouse activities and assist the Logistics Manager in the daily warehouse duties.
  • Maintains and/or creates file or record-keeping systems. Sorts, labels, files, and retrieves documents, or other materials.
  • Monitors and driver-related documents and paper works which include but are not limited to DQ files, E-log, adjustment paper, and a trip report and delivery schedule. Teach first-time drivers and continuously communicate with them to improve DOT compliance.
  • Receives calls, takes and relays messages, responds to requests for information; provides information or directs caller to the appropriate individuals including drivers, sales, and vendors.
  • Responsible for daily registration activities including but not limited to printing invoices, printing assemble sheets, forwarding payment orders to the accounting department checking on payment status, and filing permanent copies.
  • Compiles & completes inventory, ordering, & receiving records & reviews reports for correctness; maintenance of warehouse database system; additional warehouse duties as assigned.
  • Organizing warehouse and work area for orderliness at all times.
  • Assist warehouse (receiving and assembling) operation as needed.
  • Creates reports for branch management as necessary.
  • Assisting in the counting of physical inventory.
  • Other duties as assigned.

Knowledge, Skills and Ability:

  • Organize and prioritize numerous tasks and complete them under various time constraints.
  • Require computer skills, including proficiency with Microsoft Word, Excel, PowerPoint, and Outlook software, as well as other general office skills;
  • Knowledge of general office operation.
  • Data entry keyboarding skills without error at a moderate rate of speed.
  • Effective communication skills internally and externally via phone, email, and in person.
  • Ability to speak, concisely, and effectively.
  • Ability to listen to, and understand, information and ideas as presented verbally.
  • Ability to assemble, sort, and file documents.
  • Ability to organize and prioritize tasks to meet cut-offs.
  • Ability to speak, write, and read English.
