Job description

The Crowne Plaza Indianapolis Airport is seeking a candidate for the position of Sales and Catering Coordinator. This position is a full-time position that reports to the Director of Sales. We are looking for a highly energetic, positive and organized individual to provide administrative assistance to the Sales and Catering Team. This is an entry level position that will be trained to assist with and respond to small group sales and catering inquiries on behalf of sales and catering managers.
DUTIES AND RESPONSIBILITIES
Duties include, but are not limited to, the following:
  • Administrative support to Director of Sales, Director of Catering, Crowne Meetings Director, and Sales Managers
  • Responsible for answering initial inquiries, client calls/questions, internal operational questions
  • Contract and Proposal Preparation
  • Maintenance of Hotel Sales and Catering database, Amadeus
  • Finalization and detailing of small in-house meetings and events
  • Preparation of Banquet Event Orders
  • Compiling and distributing on a weekly basis the 7-day packet of BEO's and Group Resumes
  • Compiling and distributing the daily schedule of events
  • Preparing and placing directional signage and door signs for all groups
  • Correspondence to clients and guests
  • Assisting with VIP Amenities and Deliveries
  • Assisting CMDs and Housing Manager with Vouchers and Food Signage/Labels
  • Special projects and marketing assignments
  • Experience with and/or the ability to learn social tables / event diagramming
  • Assist Housing Manager during busy times
  • Assistance with phone coverage for the Sales, Catering, and Events team
  • Assistance with any special projects as assigned by the Sales office or GM
  • Other duties as assigned by the Director of Sales

REQUIREMENTS
  • People oriented, with a positive, upbeat attitude
  • Related work experience in hotel sales and catering or customer service preferred
  • Experience with Microsoft Word, Excel, and PowerPoint
  • Working knowledge of Amadeus or Delphi is preferred
  • Excellent communication skills, both verbal and written
  • Organized and positive team player with the ability to work within tight and changing deadlines
  • Must be able to stoop, bend, lift up to 20 lbs.

This is a full-time, on-site position with regular hours Monday through Friday. Some evenings and weekends may be required.
