PURPOSE:
The Receptionist is an entry-level administrative position encompassing responsibilities including Reception, Marketing, Human Resources, Administrative Assistance, and Reporting. The Receptionist's primary purpose is to answer and route incoming calls to the appropriate party promptly. Additional responsibilities include completing projects assigned by department managers to optimize Policy, Procedure, Reporting, and Internal and External Marketing to satisfy both customer and employee needs.
ESSENTIAL FUNCTIONS:
  • Reception
    • Answering incoming phone calls politely and professionally.
      • Provides general information, forwarding, and screening phone calls.
    • Welcomes and directs customers, vendors, and guests with a positive and helpful approach.
    • Announcing clients as necessary
  • Administration
    • Assisting with a variety of administrative tasks including copying, scanning, faxing, taking notes, and making travel plans.
    • Scheduling appointments, prepares meetings and training rooms for Managers.
    • Performing ad-hoc administrative duties, including sorting and distributing mail.
    • Reporting and/or Spreadsheets as assigned.
    • Development of PowerPoint Presentations for Meetings.
    • Ability to cross-train for POS transactions, as needed.
  • HR Support
    • Responsible for working with the HR department to re-post active/open positions biweekly in the Applicant Tracking System.
    • Coordinates the distribution of monthly Safety Alert content for the Safety Committee Members to deploy at their respective locations.
    • Creates internal communication form designs.
    • Responsible for employee gift coordination for life events.
    • Creates ad hoc reports such as monthly birthday reports to Marketing
OTHER JOB DUTIES:
  • Ability to cross-train for POS transactions, as needed.
  • Reporting and/or Spreadsheets as assigned.
  • Development of PowerPoint Presentations for Meetings.
All other duties - Perform all other duties as assigned including carrying out responsibilities, performing duties, using skills, and working in conditions necessary to perform all assigned tasks
COMPETENCIES/SKILLS:
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite or related software.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently.
PHYSICAL REQUIREMENTS & WORKING CONDITIONS:
  • Standard office setting. Stands and sits for long periods.
  • Low noise volume.
  • Standard office equipment utilized (computer, telephone, calculator, photocopier, and fax machine).
  • Must be able to lift up to 20 lbs.
EDUCATION & EXPERIENCE:
  • High School Graduate or related work experience.
  • 1 - 2 years of experience in an administrative position preferred.
  • Working knowledge of Microsoft Office Suite.
