Position Summary
Southern Land Company, a national real estate development and construction firm, is seeking a full-time Furniture, Fixtures & Equipment Procurement Coordinator to join our dynamic team. The position will assist the interior design team and manager of the interior design department with daily tasks associated with overseeing design of luxury multifamily properties nationwide.
The FF&E Procurement Coordinator must have a deep knowledge and aptitude of hospitality/multi-family interior design, FF&E, purchasing and project management. A great understanding of standards, budgeting, sourcing, purchasing, freight management, and installation practices will be necessary to be effective in this role. Clear communication with clients, contractors, suppliers, designers, logistics and installation teams are pertinent to deliver successful projects. Delivering to the created design intent and remaining within budget and timeline are extremely important. Exceptional attention to detail a must.
Essential Functions
  • Manage multiple projects at one time.
  • Assist in upkeep of Vendors and resources in database.
  • Coordinate procurement of FF&E items from quote request through final delivery.
  • Prepare and issue purchase orders to vendors and suppliers.
  • Track order status, production timelines, shipping, and delivery schedules.
  • Communicate with vendors, freight carriers, and internal teams regarding order updates and discrepancies.
  • Maintain accurate procurement logs, order trackers, and vendor records.
  • Review vendor acknowledgments, invoices, and packing slips for accuracy.
  • Assist with invoice processing, coding, and submission for payment.
  • Reconcile purchase orders, invoices, and delivery documentation.
  • Support minor accounting functions including expense tracking, budget updates, and payment follow-up.
  • Monitor outstanding invoices and help ensure timely vendor payments.
  • Assist with project cost tracking and reporting for FF&E purchases.
  • Resolve issues related to damaged, missing, delayed, or incorrect items.
  • Organize procurement documentation including proposals, contracts, invoices, and receipts.
  • Support project managers and designers with procurement status updates and budget tracking.
  • Ensure all purchasing activities follow company procedures, budgets, and project schedules.
  • Foster and maintain a collaborative professional working relationship with design team and vendors.

Knowledge, Skills, and Abilities
  • Proficient in Microsoft Office software.
  • Experience with Design Smart a plus.
  • Handles pressure and meets deadlines.
  • Communicates well verbally and in writing.
  • Demonstrates self-confidence, energy, and enthusiasm.

Required Education and Experience
  • High School Diploma/Equivalent
  • 2-3 years related experience in FF&E Procurement

Preferred Education and Experience
  • Bachelor's degree in Interior Design or Interior Architecture from a CIDA-accredited school
  • 2+ years' experience in hospitality/multi-family procurement
