Job description

We are a professional staffing firm working with organizations across the country to place exceptional candidates. We are currently seeking an experienced litigation Legal Assistant for a high-end boutique law firm in Coral Gables, FL.


This opportunity is best suited for a seasoned Legal Assistant, Legal Secretary, or Paralegal-level professional with substantial hands-on litigation support experience. The position supports 2–4 attorneys, with particular emphasis on a busy Managing Partner handling sophisticated business and commercial litigation matters.


This is not an entry-level or general administrative Legal Assistant position. The ideal candidate has worked directly in an active litigation practice and is comfortable independently managing attorney calendars, court deadlines, e-filings, litigation documents, client communications, billing support, and competing priorities in a fast-paced environment.


What You'll Be Responsible For

Attorney & Calendar Management

  • Support 2 - 4 litigation attorneys while managing competing priorities and time-sensitive requests.
  • Maintain complex calendars, court dates, docket deadlines, meetings, depositions, hearings, and travel.
  • Anticipate attorney needs and proactively follow through on outstanding matters.

Litigation & Court Support

  • Independently handle state and federal court e-filings and related filing procedures.
  • Track litigation deadlines and maintain accurate docket and reminder systems.
  • Prepare and format shells for pleadings, motions, discovery, correspondence, and other legal documents.
  • Coordinate depositions, hearings, mediations, arbitrations, witnesses, and trial-related logistics.
  • Assist with trial binders, exhibits, case files, and large document repositories.

Client & Matter Administration

  • Communicate professionally with clients and assist with intake and ongoing matter coordination.
  • Open new matters, coordinate conflict checks, and prepare administrative portions of engagement letters.
  • Maintain organized electronic and physical matter files and attorney contacts.
  • Handle sensitive and confidential information with sound judgment and discretion.

Billing & Administrative Ownership

  • Monitor attorney time entry and assist with billing processes.
  • Prepare expense reports and reimbursement documentation.
  • Coordinate attorney travel and detailed itineraries.
  • Manage correspondence and follow-up without requiring repeated direction.


What We're Looking For

Qualified candidates should bring:

  • Strong recent litigation experience as a Legal Assistant, Legal Secretary, or comparable Paralegal-level role within a law firm.
  • Demonstrated experience directly supporting litigation attorneys and managing active litigation matters.
  • Experience supporting multiple attorneys, preferably including a Partner, Managing Partner, or other high-volume senior attorney.
  • Hands-on experience with state and federal court e-filing systems and procedures.
  • Demonstrated responsibility for litigation calendars, court deadlines, docketing, and deadline verification.
  • Strong Microsoft Word and Outlook skills, including legal document formatting and complex calendar management.
  • Experience with legal document management, billing/time-entry, and matter-management systems.
  • Strong organizational skills with the ability to prioritize urgent requests without sacrificing accuracy.
  • Professional communication skills, discretion, responsiveness, and a high level of attention to detail.
  • Ability to work fully onsite in Coral Gables, Monday through Friday, 9:00 AM–5:30 PM.


Highly Preferred

  • Litigation support experience within a mid-size, large, or sophisticated boutique law firm.
  • Experience with complex commercial/business litigation, investigations, white-collar matters, arbitration, or similarly sophisticated matters.
  • Experience with PACER/PacerPro, NetDocs, Tabs3, SharePoint, or comparable legal systems.
  • Experience coordinating trial preparation, depositions, hearings, and complex litigation logistics.
  • Professional bilingual proficiency in English and Spanish.
  • Experience communicating with international clients, witnesses, foreign counsel, or South America-related matters.

Compensation & Benefits

Salary Range: $90,000–$110,000 annually
