Job description

Dinsmore is seeking a Legal Administrative Assistant in our Cincinnati, OH location who will support multiple attorneys in the Labor & Employment practice groups. The ideal candidate will have experience working with Labor & Employment attorneys.

Responsibilities

  • Maintain positive contact with clients, attorneys, and staff
  • Provide typical administrative support functions including knowledge of specialized terminology relevant to the practice area
  • Manage attorney/paralegal communications
  • Prepare and process documents – Multiple electronic filings throughout Ohio Courts
  • Maintain schedules and calendars of multiple attorneys/paralegals 
  • Open all team files
  • Data entry and maintenance with client systems
  • Prepare reinstatement/payoff letters
  • Follow up on return of filings
  • Prepare overnight packages
  • Communicate with clients via telephone and websites as needed
  • Maintain court dockets; preparing Pleadings, Motions, Affidavits, etc.
  • Maintain accurate and current information in case management system
  • Meet client deadlines and adapt to industry changes
  • Build and maintain positive relationships with clients, opposing counsel, court clerks, etc.
  • Prepare and format memoranda, correspondence, legal advertisements, deeds, assignments, and various other legal documents
  • Ensure the effective and timely delivery of outgoing mail, messenger deliveries, overnight deliveries, and facsimiles
  • Field calls from borrowers, clients, and other outside parties in a courteous and effective manner
  • Ensure timely, courteous, and thorough responses to a heavy volume of email correspondence
  • Develop and maintain collegial relationships with business associates and clients
  • Review title reports and recorded documents
  • Proofread legal documents as required
  • Provide support to attorneys in a high volume, time sensitive atmosphere
  • Perform other duties and responsibilities as needed

Requirements

  • 5+ years of Legal Administrative Assistant experience
  • Good understanding of the legal process surrounding labor & employment preferred
  • Excellent technical and communication skills
  • Attention to detail with top notch proofreading skills
  • Proven success as a positive team player as well as an independent worker
  • Ability to multi-task and balance multiple projects and priorities simultaneously
  • Highly motivated professional who is enthusiastic about the opportunity of learning the labor & employment practice area
