What is an entertainment project manager?

Entertainment Project Managers are professionals responsible for planning, organizing, and overseeing projects within the entertainment industry, such as film productions, live events, television shows, or music festivals. They coordinate schedules, manage budgets, liaise with creative and technical teams, and ensure that projects are completed on time and within scope. Their role is crucial for ensuring smooth operations and successful delivery of entertainment projects, often requiring strong leadership, communication, and problem-solving skills.

How does an entertainment project manager typically coordinate with creative teams and external vendors throughout a project?

Entertainment Project Managers play a vital role in bridging the gap between creative teams (such as writers, directors, and designers) and external vendors (like production houses, equipment suppliers, or marketing agencies). They facilitate regular meetings, establish clear communication channels, and ensure all parties are aligned with project goals and timelines. By managing schedules, budgets, and deliverables, they help minimize misunderstandings and keep projects running smoothly. Effective collaboration and adaptability are key, as entertainment projects often involve last-minute changes and tight deadlines.

What are the key skills and qualifications needed to thrive as an entertainment project manager, and why are they important?

To thrive as an Entertainment Project Manager, you need expertise in project management, budgeting, scheduling, and a solid understanding of the entertainment industry, often supported by a relevant degree or certification such as PMP. Familiarity with project management software like Asana or Trello, as well as budgeting tools and contracts management systems, is typically required. Exceptional communication, leadership, and problem-solving skills enable you to coordinate creative teams and manage stakeholder expectations. These skills are crucial for ensuring complex entertainment projects are delivered on time, within budget, and to the desired creative vision.

Job description

PROJECT MANAGER
Job Summary
This role is responsible for leading the full lifecycle of heavy civil construction projects-from preconstruction through closeout-with ownership of schedule, budget, team performance, and client relationships.
The Project Manager drives project execution by coordinating field operations, managing financial performance, and ensuring alignment between project teams, subcontractors, and clients. Success in this role requires strong decision-making, clear communication, and the ability to proactively manage risk, schedule, and cost.
Why This Role
  • Lead complex projects ($20M+) with full ownership of execution and outcomes
  • Work directly with field leadership and decision-makers-no unnecessary layers
  • Build and develop Project Engineers and support their progression
  • Exposure to technically complex heavy civil and government work
  • Opportunity to influence project approach, planning, and execution

Key Responsibilities
Project Execution & Leadership
  • Lead project execution from preconstruction through closeout
  • Set direction for the project team and drive accountability across all functions
  • Ensure alignment between field operations, subcontractors, and project goals

Scheduling & Planning
  • Develop and maintain project schedules using Primavera (P6)
  • Identify critical path, constraints, and risks that impact delivery
  • Communicate schedule impacts, float, and recovery plans to the team

Financial Management
  • Develop and manage project budgets, including cost codes and reporting
  • Monitor cash flow, cost performance, and forecasting throughout the project
  • Support budget setup and integration within Viewpoint

Team & Resource Management
  • Oversee field staff, subcontractors, and equipment utilization
  • Forecast manpower needs and coordinate work activities
  • Mentor and develop Project Engineers and Senior Project Engineers

Procurement & Coordination
  • Identify material requirements and manage procurement timelines
  • Expedite approvals, fabrication, and delivery to maintain schedule
  • Coordinate with vendors and subcontractors to ensure alignment

Client & Contract Management
  • Maintain relationships with clients, A/Es, and key stakeholders
  • Identify scope changes and ensure proper contract notification and documentation
  • Resolve issues proactively to maintain project progress and client satisfaction

Preconstruction Support
  • Support estimating with takeoffs and pricing as needed
  • Provide input on constructability, scheduling, and project approach

Qualifications
Required
  • Bachelor's degree in Construction Management or related field (or equivalent experience)
  • 5+ years of experience managing construction projects ($20M+)
  • Experience developing and managing project schedules (Primavera P6 or similar)
  • Proven ability to manage budgets, schedules, and project teams

Preferred
  • Experience in heavy civil or water/wastewater construction
  • Familiarity with Viewpoint or similar project management systems
  • Experience working on government or federal projects

Work Environment
  • Combination of office and active construction jobsite work
  • Regular coordination with field teams, subcontractors, and project stakeholders
  • Travel to project sites as required

This role is best suited for someone currently managing projects who wants greater ownership, stronger alignment with field operations, and clear expectations for performance and results.
