Headquartered in the Washington, D.C. area, IRUSA operates a full-scale marketing and communications department that drives donor engagement, brand stewardship, and multi-channel fundraising across the organization's entire portfolio.## Role OverviewThe Marketing Project Manager is the operational backbone of IRUSA's marketing department, the person who ensures that every request, campaign, and deliverable moves from intake to completion efficiently, on schedule, and to standard. This role owns the marketing request pipeline in ClickUp, serves as the primary day-to-day liaison with the organization's external marketing agency partner, and is responsible for the rigor and discipline of the department's workflow and approval processes. The Marketing Project Manager balances operational precision with relational skill, working across internal departments to manage expectations and timelines while holding external partners accountable to agreed service levels.## Key Responsibilities### Request Intake & Pipeline Management* Own the marketing request intake pipeline in ClickUp, reviewing incoming requests from all departments for completeness, asking clarifying questions, prioritizing, assigning, and setting service-level-based deadlines.* Coordinate with requesting departments to manage expectations, scope, and timelines, ensuring alignment before work is assigned.* Ensure deliverables meet brand standards and required specifications before hand-off to internal reviewers or requestors.* Support campaign planning by translating campaign objectives into structured project plans with clear milestones and dependencies.### Agency Liaison & External Partner Coordination* Serve as the primary day-to-day liaison to the external marketing agency partner, routing assigned work, tracking status, and ensuring on-time delivery.* Escalate issues, scope changes, or timeline risks to the Director of Marketing promptly and with clear context.* Maintain a working knowledge of active agency workstreams and deliverable status at all times.### Workflow, Process & Documentation* Manage project timelines, dependencies, and resources across concurrent campaigns and reactive requests.* Enforce the review and approval workflow, including standard review cycles, and ensure all project communication is documented in ClickUp.* Monitor throughput, identify bottlenecks, and continuously improve intake and workflow processes to increase efficiency and productivity.### Reporting & Performance Visibility* Maintain reporting on project status, team capacity, and service-level adherence for marketing leadership.* Surface recurring issues, workflow gaps, or capacity risks proactively, with recommendations for resolution.## Qualifications* Bachelor's degree in marketing, communications, business, project management, or a related field required at a minimum.* 5+ years of project or traffic management experience in a marketing, creative, or agency environment.* Embraces and exhibits Islamic Relief values (excellence, compassion, sincerity, custodianship, social justice) in character, professionalism, and work ethic.* Demonstrated mastery of project-management tools (ClickUp or comparable) and workflow and process design.* Exceptional organization, prioritization, and time-management skills, with strong attention to detail.* Strong stakeholder-management and communication skills, with the ability to enforce processes and deadlines diplomatically.* Exhibits sound decision-making and requires minimal supervision.* Strong interpersonal skills and ability to handle multiple priorities with composure under tight deadlines.* Self-motivated; fluency in English.* Proficient in Microsoft Office, Google Workspace, ClickUp, and Salesforce.* Flexibility in work schedule and willingness to travel.* Must be eligible to work in the United States without sponsorship.### Preferred* PMP (Project Management Professional) certification strongly preferred.* At least two years working in a nonprofit environment.* Experience with ClickUp, WordPress, and agency-facing project management.* Experience managing vendor or agency relationships.* Proficiency in spoken and written Arabic, Urdu, or Farsi.## Core Competencies**Operational Precision**Manages complex workflows and concurrent projects without losing details or deadlines.**Process Ownership**Designs and enforces systems that make work flow predictably from intake to delivery.**Stakeholder Management**Communicates clearly and diplomatically with requestors, partners, and leadership.**Agency Coordination**Maintains effective working relationships with external partners and holds them to agreed standards.**Proactive Visibility**Surfaces risks and bottlenecks before they become problems.**Adaptability**Responds effectively to shifting priorities, urgent requests, and changing campaign conditions.## What Success Looks LikeIn the first 90 days, the incoming Marketing Project Manager will have developed a thorough understanding of the marketing department's workflow systems, request pipeline, and agency relationships; established themselves as a reliable point of contact for internal departments and the agency partner; and taken confident ownership of the day-to-day operations of ClickUp. Within six months, the Marketing Project Manager will have identified and implemented at least one meaningful improvement to intake or workflow processes, demonstrated measurable improvement in service-level adherence, and established trust with internal stakeholders across the organization.
