A day in the life...
As the Engineering Coordinator, you will assist the Director of Engineering in maintaining all building related systems to ensure the safety of hotel guests, associates, and vendors.

  • Follow company preventative maintenance procedures and guidelines for guestrooms, equipment, coordinating with front office and housekeeping. Keeping accurate tracking and reporting. Conduct inspections on completed PM rooms to standards are maintained.
  • Assume the primary responsibility of maintaining engineering records of chargeable owners' expenses (OER/GCPM/ACPM) reports to be provided Monthly to the Finance department.
  • Assist with maintaining engineering related check book accounting procedures to ensure the department operates within budgeted guidelines while maintaining required stock of supplies and materials. Keeping a monthly inventory and establishing par levels.
  • Assume primary responsibility of monitoring and approval of engineering departments payroll, weekly scheduling and coordinating department PTO calendars to ensure adequate coverage.
  • Assist the DOE in effectively overseeing departmental trainings to maintain compliance.
  • Assist the DOE in assigning tasks to engineering staff and follow-up with engineering staff to ensure maximum productivity. Managing the Alice property management ticket system
  • Learn and understand the engineering records and filing system to support, Preventive Maintenance Programs, Capital Projects, Life Safety Systems, and Inspections, etc.
  • Assist with monitoring and maintaining all Engineering spaces in a safe, clean, organized, energy efficient manner.
  • Assist the DOE with Coordinating vendors and contractors for services and inspections as needed.
  • Attend Monthly H.A.T meeting and provide accurate notes for the engineering department to correct as needed.
  • Comply with attendance rules and be available to work on a regular basis.
  • Comply and adhere to company handbook policies, company standards, procedures, and core values.
  • Complete weekly department schedules
  • Assist DOE with coordinating both EP and CIP Capex expenditures and overseeing completion.
  • Processing POs in Acumatica prior to purchasing
  • Coordinate gathering all new vendor information with proper COI's, W9 and provide them to accounting for proper set up in the system.
  • Issuing badge credentials to visiting vendors/contractors
  • Assist with radio communication to departments coordinating who is taking AM / PM calls
  • Attend all pop-up health inspections and compliance issues as it relates to Engineering along with the DOE or in DOE's stead when unavailable.
  • Attending daily morning leadership meetings when DOE is unavailable.
  • Coordinate bi-weekly meetings with Housekeeping, F&B and Culinary to discuss engineering needs or concerns. Adjusted frequency as demand requires.
  • Coordinate preventative maintenance for all kitchen equipment
  • Coordinate window cleaning cycles

Requirements
  1. 1-3 years of experience in hotel engineering, facilities coordination, or a related administrative role preferred
  2. Prior hotel or resort experience strongly preferred
  3. Strong verbal and written communication skills
  4. Strong computer skills, including Microsoft Outlook, Excel, and Word
  5. Ability to work flexible schedules, including weekends, holidays, and evenings as needed
  6. Ability to walk the property, climb stairs, and access maintenance areas
  7. Occasionally lift or move light materials or supplies
  8. Bilingual (English/Spanish) preferred
