Join our Team! Leland Management is seeking a Maintenance Coordinator & Covenant Enforcement Administrator for one of our communities in the East Orlando, FL area. The Maintenance Coordinator/ Covenant Enforcement Office Administrator serves as a key on site team member responsible for supporting daily operations, maintenance coordination, and covenant enforcement activities. This role requires strong organizational and communication abilities, and a high level of professionalism when interacting with homeowners, vendors, and staff.
The ideal candidate is calm under pressure, highly organized, and skilled at diffusing homeowner concerns while ensuring community standards are upheld.
Essential Duties and Responsibilities
  1. Coordinate and assist with day-to-day maintenance operations including scheduling, tracking, and follow up on maintenance requests with the maintenance team.
  2. Communicate regularly with vendors, obtain bids, assist with bid comparisons, and help keep vendor files and documentation organized for the General Manager.
  3. Meet with vendors and maintenance staff on site to review scope of work, timelines, and expectations.
  4. Conduct on site meetings with homeowners and remain calm to review owner issues, explain violations, and work toward resolution in a professional and respectful manner.
  5. Diffuse homeowner conflicts with patience, empathy, and clear communication while enforcing governing documents consistently.
  6. Manage covenant enforcement activities including inspections, violation notices, follow up communications, and documentation.
  7. Must be able to utilize computer systems, management software, and office technology efficiently to support daily operations. Must be able to troubleshoot camera/internet issues.
  8. Handle incoming and outgoing emails related to maintenance, covenant enforcement, and general office administration.
  9. Provide administrative support to the General Manager including organization of files, tracking deadlines, and maintaining records. Assist with preparation of meeting minutes and high-level documentation.
  10. Perform other duties as assigned to support the community and management team.

Requirements
Required Knowledge, Skills, and Abilities
  1. Strong conflict resolution and customer service skills with the ability to remain calm in challenging situations.
  2. Proficient in computer systems, internet troubleshooting, office software, and IT related tasks.
  3. Ability to multitask and prioritize effectively in a fast-paced environment.
  4. High level of comfort interacting face to face with homeowners, vendors, and staff.
  5. Strong organizational skills and attention to detail.
  6. Ability to work independently while also collaborating as part of an on site team.

Education and Experience
  1. Prior experience in customer service, property management, administration, maintenance coordination, or a related field preferred.
  2. Experience handling covenant enforcement or compliance matters is a plus.
  3. Administrative or office management preferred.

Work Environment and Physical Requirements
This is an onsite position requiring regular interaction with homeowners, vendors, and staff throughout the community. The role may require walking the property, attending meetings, and working hours that may include some nights and weekends.
