Job Overview
The Senior Emergency Management Specialist supports the development and ongoing administration of Saronic's global Emergency Management program. In a rapidly growing and evolving organization, this role helps create the policies, plans, systems, and processes needed to strengthen preparedness and ensure consistent program execution across diverse locations and operations. The position combines program administration, technical writing, project coordination, information management, and cross-functional collaboration. Working closely with site leaders and diverse stakeholders, the Senior Emergency Management Specialist helps translate operational needs and emerging risks into practical, scalable solutions that advance Saronic's Emergency Management mission: Preparedness, Response, Resilience.
Responsibilities
- Program Development, Planning & Governance
• Support the development, implementation, and continuous improvement of Saronic's global Emergency Management program.
• Develop and maintain enterprise Emergency Action Plans, Emergency Response Plans, policies, standards, procedures, templates, and site-specific supporting documents.
• Establish scalable, repeatable processes and governance structures that promote accountability and consistent implementation across Saronic locations.
• Translate operational risks, regulatory requirements, lessons learned, and business needs into practical Emergency Management programs and procedures.
• Coordinate Emergency Management projects, track milestones and corrective actions, and ensure plans remain aligned with site-specific hazards, operations, and response capabilities.
Management & Information Systems
• Administer and continuously improve Emergency Management systems, databases, trackers, records, and digital resources.
• Use platforms such as Novara, SharePoint, and Microsoft Office to organize program information, automate workflows, and strengthen reporting.
• Develop dashboards, metrics, reports, and tracking tools that provide visibility into readiness, open actions, emerging risks, and overall program performance.
• Help administer document control and records management processes, including reviews, approvals, version control, retention, and archiving.
• Collaborate with Physical Security, IT, Legal, People, and other stakeholders to ensure Emergency Management requirements are supported through existing notification, incident coordination, and communication tools and processes.
Training, Exercises & Continuous Improvement
• Help coordinate Emergency Management training, drills, tabletop exercises, and functional or full-scale exercises.
• Develop exercise objectives, scenarios, injects, participant materials, evaluation tools, training resources, and supporting documentation.
• Manage scheduling, stakeholder participation, logistics, records, and follow-up activities for training and exercises.
• Support orientations, workshops, plan reviews, and preparedness activities for employees, response teams, and functional stakeholders.
• Lead after-action and improvement processes, including reports, lessons learned, corrective-action tracking, and monitoring actions through completion.
Fire/Life Safety, Emergency Equipment & Site Readiness
• Administer Saronic's fire/life safety, emergency response, and rescue equipment programs.
• Coordinate equipment procurement, deployment, inspection, maintenance, replacement, inventory control, and lifecycle management.
• Collaborate with stakeholders to manage vendors, service agreements, purchasing activities, invoices, documentation, and performance expectations for Emergency Management equipment and services.
• Coordinate site assessments, plan reviews, equipment evaluations, and readiness inspections to identify gaps in preparedness and response capabilities.
• Collaborate with site stakeholders to standardize requirements, address deficiencies, and prepare new or changing facilities and operations.
Emergency Response, Incident Management & Stakeholder Coordination
• Participate in an on-call rotation and provide Emergency Management support during incidents affecting Saronic personnel, facilities, operations, or assets.
• Serve in assigned Incident Command System roles and support incident coordination, situational awareness, resource tracking, documentation, and stakeholder alignment.
• Coordinate with internal stakeholders, site leadership, public safety agencies, emergency services, vendors, consultants, and other external partners during preparedness, response, and recovery activities.
• Influence stakeholders and help drive Emergency Management priorities and projects to completion in a fast-paced, rapidly scaling environment.
• Bachelor's degree in emergency management, homeland security, occupational safety, business administration, or a related field (relevant professional experience may be considered in lieu of a degree); professional certifications (e.g., AEM, CEM, CBCP) preferred
• 6+ years of experience in emergency management, preparedness, emergency planning, incident management, business continuity, or a related field
• Experience supporting emergency management programs in a manufacturing, industrial, maritime, or shipbuilding environment
Preferred Skills and Experience
• Experience developing and maintaining Emergency Management plans, policies, procedures, standards, and supporting documentation.
• Familiarity with applicable emergency preparedness, fire/life safety, and occupational safety requirements and standards, including OSHA regulations, NFPA standards, the International Fire Code, the International Building Code, USCG requirements, EPA regulations, and applicable state, local, and international requirements.
• Experience building or maturing Emergency Management programs within a rapidly growing, multi-site, or geographically dispersed organization.
• Strong program and project administration skills, including coordinating stakeholders, tracking requirements, managing deliverables, and balancing competing priorities.
• Working knowledge of ICS, NIMS, emergency operations, exercises, after-action processes, and recognized Emergency Management principles.
• Proficiency with Microsoft Office, SharePoint, Novara, Power BI, Smartsheet, or comparable systems used to manage program information, automate workflows, and develop dashboards and reports.
• Strong technical writing, document control, records management, and communication skills, including the development of emergency notifications and stakeholder updates.
• Demonstrated ability to work independently, handle sensitive information appropriately, solve complex problems, and influence stakeholders across functions and organizational levels.
Additional Requirements
• Ability to participate in an on-call rotation and respond outside normal business hours, including evenings, weekends, and holidays, when operationally necessary.
• Ability to travel approximately 10-15% to Saronic U.S. and international locations
• Ability to work in office, manufacturing, industrial, shipyard, maritime, outdoor, and other operational environments.
• Ability to conduct site assessments that may require extended periods of standing or walking and navigating stairs, ladders, vessels, uneven surfaces, or active work areas.
• Ability to wear required personal protective equipment, including safety footwear, eye protection, hearing protection, gloves, high-visibility apparel, and other task-specific PPE.
• Ability to support emergency response and post-incident recovery activities consistent with assigned responsibilities, training, and qualifications.
• Ability to occasionally lift, carry, push, or pull equipment and supplies weighing up to 50 pounds, with or without reasonable accommodation.
• Ability to work for extended periods during significant incidents, exercises, or operational disruptions.
• Ability to maintain situational awareness and communicate effectively in noisy, stressful, time-sensitive, or rapidly changing environments.
