Job Description

The Laboratory Administrative Assistant, Embryology and Andrology reflects the mission, vision, and values of NM, adheres to the organization's Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines and all other regulatory and accreditation standards.

Responsibilities:

  • Administrative Functions:
    • Prepare required paperwork/documents for the day's patients ensuring completeness and accuracy of information; prepare charts according to standard office procedure, including lab results, consent forms, procedure reports, and outside medical records
    • May include seeing patients within the clinic/virtually to confirm patient record or required paperwork
    • Perform daily data entry in compliance with SART (Society for Artificial Reproductive Technology)
    • Understanding of laboratory inventory process, which includes routinely receiving, stocking, and rotating all consumable supplies
    • Assist in all aspects of shipping and receiving cryo-storage specimens, including answer all incoming inquiries from patients, providers, and staff, courier scheduling, shipment handling, inventory maintenance and specimen transfers
    • Assist in maintaining patient accounts by obtaining, recording, and updating personal and financial information as required by this position
    • Coordinate projects facilitating information flow and adherence to deadlines
    • Perform ad hoc administrative duties as assigned by the Reproductive Endocrinology Infertility (REI) leadership
  • Laboratory Functions:
    • Follow the laboratory's procedures for reporting and maintaining records of patient test results specifically morning laboratory quality control and patient medical records
    • Adhere to the laboratory's quality control policies, document all quality control activities, instrument and procedural calibrations and maintenance performed
    • Study and review laboratory operating manual and become familiar with quality assurance, quality control, safety procedures and operating guidelines for performing laboratory services
    • Participate in laboratory operations as directed
    • Attend laboratory meetings as requested
    • Assist embryology staff with procedures and research projects
    • Communicate with clinical staff, as appropriate
Qualifications

Required:

  • Bachelor degree or 5+ years' experience in IVF related field.
  • Proficiency using Microsoft Word, Excel, Outlook

Preferred:

  • A bachelor degree in Biology or related field
  • Prior experience in IVF lab or related clinical setting
  • EPIC experience
