Opportunity Overview

We have an immediate opening for an Cryostorage Coordinator to join our team at Ovation Fertility in Nashville, Tennessee.

  • Schedule: Monday through Friday, from 8:00 AM to 4:30 PM, with approximately 6 weekends and 2 holidays per year

In this role, the Cryostorage Coordinator will:

  • Maintain all cryo-storage inventory efforts for the Ovation-Nashville Laboratory
  • Assist the Nashville embryology, andrology, and administrative teams in maintaining their current, inventory and operations
  • Assist in all aspects of shipping and receiving cryostorage specimens, including courier scheduling, shipment handling, inventory maintenance, and specimen transfers
  • Send, receive, and verify patient consents
  • Maintain accurate data entry in the EMR
  • Perform applicable duties following lab SOPs
  • Maintain attention to detail
  • Comply with HIPAA privacy regulations
  • Assist in data collection and management for research projects
  • Assist with CAP inspection preparedness and compliance
  • Communicate clearly, professionally, and timely with all stakeholders
  • Coordinate logistics between customers and couriers
  • Maintain patient records (paper and electronic)
  • Perform general office duties such as filing, copying, cleaning, scanning, organizing, and answering the phone
  • Respond to patient inquiries by phone or email
  • Answer patient and employee questions regarding cryo storage.
  • Assist with annual cryo audit
  • Perform all other duties as assigned

Qualifications and Skills Include:

  • Two-year Associate’s degree required; Bachelor's degree preferred
  • 2+ years of medical office experience
  • Specimen handling in a laboratory setting preferred
  • Ability to handle multiple tasks and priorities effectively
  • Ability to manage, organize, and reconcile multiple sources of information with accuracy
  • Excellent interpersonal communication skills and ability to build and facilitate good working relationships with staff at all levels of organization
  • Demonstrated ability to exercise sound judgment and discretion when handling sensitive and confidential information
  • Excellent organizational skills
  • Ability to work independently, under pressure and within deadlines
