Job Description

Role: Administrative Assistant

Duration: 6 Months+

Location: Bellevue, WA


Job Responsibility:ย 

Establish and maintain effective and cooperative professional business relationships with all levels of management, employees and outside contactsย 

Provide backup support to the front desk, including greeting and badging visitors, processing mail, stocking break rooms, and straightening common areasย 

Perform team support duties including ordering office supplies, making copies, updating distribution lists, and scheduling contractor interviewsย 

Provide support for senior management, including travel arrangements and itineraries, expense reports, correspondence, and meeting coordinationย 

Coordinate conference/meeting room set-up, catering, and logistical arrangements for onsite and offsite meetings and events, and provide on-location support for team activities and outingsย 

Assist with on-boarding of new employees and contractorsย 

Assist with space management, workspace move requests and submit facilities work ordersย 

Act as a liaison, problem solver, and facilitator for the departmentย 

Assist with developing and updating PowerPoint presentations, Excel spreadsheets, and other charts and documents in support of team activitiesย 

Create purchase requisitions, reconcile purchasing card expenses and troubleshoot issues with Financeย 

Partner and coordinate workload with other administrative team members and provide backup support when neededย 

This role will require off-hours work and responsiveness at timesย 


Qualificationsย 

2-5 years of administrative experienceย 

Customer service-focused, with a professional presence and a confident and approachable personalityย 

Strong communication skills (both written and verbal), and ability to operate effectively and efficiently in a challenging, fast-paced environmentย 

Skilled in Microsoft Outlook, Word, Excel, and PowerPoint; experience with SharePoint and Oracle iExpense/iProcurement helpfulย 

Proficient in managing Outlook calendars and organizing travelย 

Ability to multi-task, assist multiple team members at the same time, and prioritize work effectivelyย 

Detail-oriented and able to complete work assignments with a high degree of qualityย 

Capable of working with discretion and tact in an environment exposed to a high level of sensitive and confidential informationย 


Qualifications

2-5 years of administrative experienceย 

Customer service-focused, with a professional presence and a confident and approachable personalityย
