JOB PURPOSE:
The Part-Time Administrative Assistant will provide essential administrative and coordination support for the colorectal carcinogenesis patient recruitment program. The individual will assist in scheduling, communication, data entry, and coordination between clinical and research teams to ensure smooth and efficient patient recruitment from the surgery, gastroenterology, and oncology clinics.

NATURE AND SCOPE:
This position is critical for maintaining accurate records, facilitating communication between departments, and ensuring compliance with institutional and regulatory requirements.
PRINCIPAL ACCOUNTABILITIES:
  • Coordinate and schedule patient recruitment activities between the clinical and research teams.
  • Communicate with patients to confirm appointments and provide study-related information as directed by the research nurse or coordinator.
  • Maintain logs of enrolled and pending patients; track recruitment metrics and report progress to the PI.
  • Assist with preparation, routing, and filing of IRB forms, consent documents, and other regulatory materials.
  • Support data entry and maintenance of patient information in databases (e.g., Excel, REDCap, Workday).
  • Manage correspondence, including email, phone, and document distribution related to the study.
  • Process reimbursements, invoices, and travel arrangements for research activities when needed.
  • Maintain organized electronic and paper filing systems for study documentation.

  • Proficiency in Microsoft Office Suite and data management systems.
  • Ability to handle sensitive information with confidentiality and professionalism.
