Office Support Associate (Part-Time) - EnterpriseWorks
This position's schedule is primarily Monday through Friday from 11:00am - 1:30pm (approximately 12-15 hours per week) and requires in-person work on campus.
This position is not eligible for any type of sponsorship for work authorization.

The University of Illinois Research Park is a technology innovation hub located on the University of Illinois Urbana-Champaign (UIUC) campus. It serves as a dynamic environment where startups, corporate innovation centers, university researchers, and student talent work together to advance research, technology commercialization, and economic development. Home to more than 100 companies, including Fortune 500 corporations, mid-sized tech firms, startups, and translational research organizations, the Research Park fosters collaboration between industry and the University of Illinois. Job Summary
The Office Support Associate ensures events run smoothly by setting up, preparing materials, and providing hands on support before, during, and after each event; will also assist with general office duties as needed.
Duties & Responsibilities
  • Event Day Setup & Preparation
    • Arrange tables, chairs, displays, etc. according to prescribed floor plans.
    • Work with IT Specialist to set up audiovisual equipment (slides, microphone, etc.).
    • Stage catering food in an orderly fashion and put out assorted beverages from our stock.
    • Prepare event materials (handouts, name badges/placards, print registration, etc.).
    • Occasional special set-up for elevated events (backdrops, flowers, exhibits, podium, etc.
  • Event Execution
    • Greet attendees and assist with check in or seating as needed.
    • Replenish food and supplies as needed.
    • Keep event space clear of debris.
    • Support staff to ensure smooth event flow, pleasant guest experience and safety.
  • Post Event Support
    • Break down room setups and return spaces to standard configuration.
    • Clean up food, return excess beverages & supplies to their designated places.
    • Keep events room clean and organized so supplies can be easily accessed.
  • General Event Support
    • Help create registration forms for events in WebTools.
    • Check on-going registration of upcoming events and communicate when events have low attendance or have last minute surges in registration.
    • Check website events calendar to ensure that event listings match events listed in Outlook.
    • Book rooms in LocalHop portal as needed.
    • Maintain inventory of event supplies (tablecloths, utensils, signage, etc.).
Work Schedule, Travel, or Other Job Expectations
The Office Support Associate must be available Monday through Friday from 11:00am - 1:30pm (approximately 12-15 hours per week). Opportunities to work additional hours will be available on occasion.
Minimum Qualifications
  • High school diploma or equivalent.
  • Any one or combination totaling eighteen (18) months from the categories below:
    • College coursework in any curriculum as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate's Degree (60 semester hours) equals eighteen months (18 months)
    • Work experience performing office/clerical activities, including the use of computer systems.

  • Communicate clearly and professionally with staff, vendors, and attendees.
  • Possess basic proficiency with office tools (email, calendars, spreadsheets).
  • Learn simple event related systems (registration & booking software).
  • Lift and move items such as lunch boxes, tables, chairs, and supplies.
  • Be reliable, punctual, and consistent.
  • Have a friendly, service-oriented attitude.
  • Pivot as plans and circumstances arise.
  • Take initiative and notice what needs to be done without being asked.
  • Discern when to work independently and collaborate with others.
Appointment Information
This is a 30% part-time Civil Service 0846 - Office Support Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the close date. The collective bargaining agreement sets a wage of $20.082 per hour. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity.
