General Purpose:

The Benefits Administrator is responsible for the day-to-day administration, processing, and coordination of employee benefit programs. This role ensures accurate enrollment, billing, compliance, and employee communication across all our plans. The position requires strong attention to detail, data integrity focus, and the ability to manage high-volume, recurring processes while identifying opportunities for automation and process improvement.

Essential Functions:

  • Manage all benefits for 1,000 internal staff across the United States.
  • Perform as benefits liaison to approximately 20,000 temporary associates across the United States.
  • Process new hires, terminations, rehires, and status changes in HRIS and vendor systems.
  • Ensure timely and accurate benefits enrollment for new hires and ongoing employee changes, coordinating and validating dependent eligibility and life event changes.
  • Respond to employee inquiries regarding benefits, enrollment, life events, and claims issues.
  • Manage weekly eligibility, enrollment, and deduction files, as well as electronic data interface (EDI) files for internal benefits vendors.
  • Process disability claims, FMLA requests, National Medical Support Orders, and 401k plans.
  • Ensure compliance with federal, state, and local regulations (e.g., COBRA, State leaves, SPD distribution, 116M reporting, state forms), as well as ACA compliance.
  • Lead efforts for HIPAA compliance concerning records retention and service operations.
  • Assist with planning and execution of annual open enrollment (OE) for internal employees and associates.
  • Perform enrollment audits, data validation, and vendor file updates during OE period.
  • Resolve discrepancies between internal HRIS data and vendor records.
  • Maintain invoice tracking, reconciling, and ensure timely payment processing.
  • Coordinate new hire communications, enrollment reminders, and benefits confirmations.
  • Assist in development and maintenance of benefits education materials and resources (e.g., intranet, videos, FAQs).
  • Provide support for high-volume ticket resolution related to benefits issues.
  • Support initiatives to reduce manual work, improve turnaround time, and minimize errors.
  • Support development of enrollment materials and employee communications.
  • Maintain and update benefits procedures, documentation, and internal knowledge bases (wiki/intranet).

Desired Skills & Experience:

  • Bachelor's Degree in Business, Human Resources, or related field.
  • 2+ years of benefits administration experience.
  • Experience in administering self-funded health plans, 401k plans, and ancillary benefits.
  • Strong analytical and problem-solving skills with high attention to detail.
  • Experience with Human Resource Management System software.
  • Ability to work cross-functionally to proactively communicate and to resolve issues with the highest sense of urgency.
  • Excellent computer skills including proficiency in Microsoft Office suite, specifically Microsoft Excel.
