ADMINISTRATIVE ASSISTANT (Temporary 12 month contract) | Calgary, AB

Your tasks at a glance 
  • You manage calendars, appointments, and meeting schedules for the Regional Director, ensuring priorities are organized effectively.
  • You coordinate meetings, prepare agendas, record minutes, and follow up on action items to keep projects moving forward.
  • You draft, proofread, and format correspondence, reports, presentations, and other business documents with accuracy and professionalism.
  • You organize and maintain confidential electronic and physical records while monitoring incoming communications and ensuring timely follow-up.
  • You support operational projects and administrative initiatives across multiple clinic locations, tracking timelines, deliverables, and key milestones.
  • You coordinate travel arrangements, leadership meetings, and special events, ensuring all logistics are planned seamlessly.
  • You collaborate with physicians, clinic leaders, staff, and external partners to facilitate effective communication and coordination.
  • You support expense reporting, invoice processing, data collection, and reporting while continuously identifying opportunities to improve administrative processes and efficiencies.
  • You support the organization’s Risk Management program by identifying and promptly reporting patient safety concerns, incidents, or potential risks to clinic management, to assist in the organization’s overall efforts to identify, report, and mitigate risks.
A clear view of your assets     
  • You are comfortable with computers, technology, and Microsoft 365 (knowledge of EMR systems is an asset).
  • You have 2–3 years of administrative support experience (experience supporting leadership is an asset), are proficient in Microsoft Office, and have strong organizational, communication, and time-management skills.
  • You are detail-oriented, professional, and customer-focused, with the ability to manage competing priorities, maintain confidentiality, build strong relationships, and work both independently and collaboratively.
  • Your experience in the health care field is considered an asset (ex: medical assistant, physiotherapy assistant, optometry assistant, orderly, dental assistant, pharmacy lab technician, sterilization assistant, animal health technician assistant, veterinary assistant, etc.).
  • You are looking for a fast-paced, dynamic work environment where your ability to work in a team and excel at multi-tasking will be an asset. 
  • Schedule: You have flexibility to work between Monday and Friday 8:00 AM - 4:00 PM, no weekends.
