Summary:

The Senior Executive Assistant provides proactive, high-quality administrative and operational support to senior leaders. This role is responsible for managing complex calendars, coordinating leadership meetings and events, and executing key administrative processes that enable efficient business operations. The position requires strong organizational skills, sound judgment, and the ability to manage multiple priorities in a fast-paced environment while maintaining confidentiality and professionalism. At this level, the Senior Executive Assistant operates with moderate independence, applying experience and established processes to deliver consistent, high-quality support.

Responsibilities:
  • Manage and prioritize executive calendars, ensuring alignment with business needs
  • Coordinate meetings across stakeholders, proactively resolving scheduling conflicts
  • Prepare agendas, meeting materials, and follow-ups
  • Serve as a key point of contact for administrative and scheduling inquiries
  • Plan and execute leadership meetings, offsites, and employee events
  • Coordinate logistics including travel, venues, catering, and communicationsSupport hiring processes through interview scheduling and candidate coordination
  • Handle financial administrative tasks (POs, expenses, accruals, vendor coordination)
  • Maintain communication channels, distribution lists, and organized systems
  • Provide cross-functional and ad hoc administrative support with a service-oriented mindset

Qualifications:
  • Demonstrated experience supporting senior leaders in an administrative or executive assistant capacity
  • Strong organizational skills with the ability to manage multiple priorities simultaneously
  • Excellent communication and interpersonal skills with a customer-service orientation
  • High level of discretion and ability to handle confidential information
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools
  • Experience coordinating executive-level meetings, offsites, or corporate events (preferred)
  • Familiarity with procurement, expense reporting, and/or basic financial processes (preferred)
  • Experience supporting HR or cross-functional leadership teams (preferred)
